POSITION OVERVIEW – Executive Recruiting Coordinator

You'll be the person who keeps executive hiring running smoothly at the company. You'll work alongside a team of Executive Recruiters and Sourcers, handling the behind-the-scenes coordination that gets top candidates from first interview to first day. That means scheduling interviews with senior leaders, arranging travel, writing up offer letters and new hire paperwork, running background checks, and keeping candidate records current in Workday. You'll also build reports for HR leadership and make sure executive candidates get a polished, white-glove experience from start to finish. This is a coordination role, not a full-cycle recruiting role. You won't be sourcing candidates or running searches. It's a great fit if you're highly organized, comfortable working with senior leaders, and have experience scheduling a high volume of interviews in a fast-paced corporate environment.

RESPONSIBILITIES

  • Serve as a partner to Recruiters and Hiring Managers, executing all coordination efforts
  • Schedule phone, video, and/or onsite interviews for selected candidates

  • Coordinate interview expense reports
  • Coordinate employee referrals
  • Provide follow-up new hire correspondence to candidates via phone and email
  • Execute background checks and ensure they are completed timely and accurately, collecting supporting documentation if necessary
  • Identify opportunities for improving candidate experience and scheduling efficiency
  • Pull and create reports to provide to the Recruiting Manager regularly
  • Assist in various process improvement projects across the department and build relationships with multiple HR counterparts, e.g., HR Business Partners, Learning and Development, etc.

REQUIRED QUALIFICATIONS/SKILLS

  • Excellent written and verbal communication skills; articulate communication style
  • Ability to interface with all levels of the organization and with external candidates
  • Highest sense of urgency while maintaining accuracy and efficiency; respectful persistence is key day to day, and knowing when to push back
  • Willing to go the extra mile to reach the highest possible level of quality and speed
  • Strong ability to develop relationships with executive stakeholders, candidates, and internal partners, i.e., Recruiters, Executive Assistants, IT, etc.
  • Strong problem-solving skills, able to troubleshoot issues independently and drive them to closure with minimal supervision
  • Great organizational skills and attention to detail, able to juggle and prioritize multiple tasks simultaneously
  • Flexible, able to change direction quickly
  • Comfortable in a fast-paced environment and in dealing with ambiguity
  • Solid sense of accountability and acute personal judgment
