Position Summary

The Talent Acquisition Specialist is responsible for managing the full end-to-end recruitment and pre-hire process, from requisition intake through candidate onboarding and readiness to start. This role serves as a key partner to hiring managers and is responsible for delivering an efficient, engaging, and positive candidate experience throughout the recruitment process.

The Talent Acquisition Specialist will manage a high volume of recruiting activity, particularly during the organization's peak hiring season from March through May, when approximately 80% of recruiting needs consist of labor and service positions supporting the pool industry and approximately 20% consist of office, administrative, and professional positions.

This role requires strong organizational skills, attention to detail, the ability to manage competing priorities, and a customer-service-oriented approach to both candidates and internal stakeholders.

The Talent Acquisition Specialist will also support career fairs, community outreach, school partnerships, apprenticeship recruiting, and other talent acquisition initiatives as assigned.

Essential Responsibilities

Full-Cycle Recruiting

  • Manage the recruitment process from requisition creation/intake through pre-hire completion.
  • Partner with hiring managers to understand staffing needs, job requirements, qualifications, and hiring timelines.
  • Review and manage approved requisitions and ensure job postings accurately reflect the position requirements.
  • Source candidates through job boards, recruiting platforms, professional networks, community organizations, schools, career events, and other talent pipelines.
  • Conduct initial candidate screening and assess candidates against established job requirements.
  • Communicate with candidates throughout the recruitment process and maintain timely follow-up.
  • Coordinate and schedule interviews between candidates and hiring managers.
  • Manage interview logistics and ensure candidates have a clear understanding of the interview process.
  • Gather interview feedback and facilitate communication between candidates and hiring managers.
  • Maintain accurate and timely applicant tracking system records.

Candidate Experience

  • Serve as a primary point of contact for candidates throughout the recruitment and pre-hire process.
  • Develop and maintain a positive, professional, and engaging candidate experience.
  • Proactively communicate next steps, timelines, required documentation, and expectations.
  • Identify opportunities to improve the candidate experience and streamline the recruitment process.
  • Ensure candidates receive timely communication throughout each stage of the hiring process.
  • Help create a welcoming and organized experience from initial contact through pre-hire.

Offer & Pre-Hire Process

  • Draft and coordinate employment offers in accordance with company guidelines and approved compensation.
  • Communicate offer details to candidates and facilitate the offer process.
  • Manage the candidate's transition from offer acceptance through pre-hire clearance.
  • Coordinate and monitor completion of required pre-employment activities, including:
  • - Background checks
  • Driving record/MVR checks, where applicable
  • Employment documentation
  • Other required pre-employment screenings
  • Follow up with candidates to ensure all required pre-hire documentation and screenings are completed within established timelines.
  • Partner with HR Team and hiring managers to resolve pre-hire issues and ensure candidates are cleared and ready for their scheduled start date.
  • Maintain accurate and confidential candidate records.

High-Volume Seasonal Recruiting

  • Manage significant recruiting volume during the organization's peak hiring period, particularly March through May.
  • Support high-volume recruitment of labor and service employees within the pool industry.
  • Effectively manage multiple open requisitions, candidates, interviews, offers, and pre-hire processes simultaneously.
  • Develop and maintain candidate pipelines to support seasonal staffing demands.
  • Work closely with hiring managers to prioritize critical openings and meet staffing deadlines.
  • Identify opportunities to improve recruiting efficiency and reduce time-to-fill during peak hiring periods.

Career Fairs & Community Recruiting

  • Research and identify career fairs, workforce development events, community events, and industry recruiting opportunities.
  • Coordinate and attend career fairs and recruiting events to promote employment opportunities.
  • Develop relationships with local workforce organizations and community partners.
  • Track recruiting event participation and identify opportunities to strengthen talent pipelines.

School & Apprenticeship Recruiting

  • Develop and maintain relationships with local high schools, colleges, technical schools, and other educational institutions.
  • Establish a consistent recruiting presence within local schools and educational communities.
  • Partner with schools to identify opportunities to recruit high school and college students.
  • Support recruitment efforts for the company's apprenticeship program and summer employment opportunities.
  • Participate in school career days, job fairs, presentations, information sessions, and other student-focused recruiting events.
  • Build relationships with educators, career counselors, workforce development staff, and other school contacts.
  • Develop long-term student talent pipelines to support future workforce needs.

Additional Responsibilities

  • Maintain accurate recruiting and candidate information within the applicant tracking system and HR systems.
  • Prepare recruiting reports and provide updates regarding open positions, candidate activity, and hiring progress.
  • Ensure recruitment activities are conducted consistently with company policies and applicable employment requirements.
  • Maintain confidentiality of candidate and employee information.
  • Support HR Operations and Talent Acquisition projects and initiatives as assigned and during low periods.
  • Cross-train across HR Operations to enhance team collaboration, expand skill sets, and provide flexible support across key functions.
  • Perform other ad hoc responsibilities and special projects assigned.

Qualifications

Required Qualifications

  • Bachelor's degree in Human Resources, Business Administration, Communications, or a related field, or equivalent combination of education and experience.
  • 4+ years of recruiting or talent acquisition experience, preferably in a high-volume recruiting environment.
  • Experience managing candidates through a full-cycle recruitment and pre-hire process.
  • 2+ years’ experience with applicant tracking systems and recruiting technology ADP preferred.
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple priorities and work effectively in a fast-paced environment.
  • Strong attention to detail and follow-through.
  • Ability to maintain confidentiality and handle sensitive candidate information professionally.
  • Team-oriented, with a strong commitment to collaboration, shared goals, and supporting team success.

Work Environment & Travel

Work Location: Headquarters, West Bridgewater, MA

This is a hybrid position, with an expected schedule of 4 days per week in the office and 1 remote day.

Travel: Less than 5% of the time, primarily for career fairs, school visits, recruiting events, and community outreach activities.
