Job Summary

The Recruiting Coordinator supports the Firm’s recruiting and onboarding activities for business professionals by coordinating interviews, maintaining accurate candidate and recruiting data, communicating with candidates and internal stakeholders, and assisting with orientation and new-hire integration. The position partners closely with the Recruiting Manager and Human Resources team to deliver a professional, responsive, and consistent candidate and new-hire experience. Success in this role requires strong organization, sound judgement, attention to detail, discretion, and the ability to manage multiple time-sensitive priorities independently.

Essential Duties

  • Coordinate interviews, including calendars, travel, meeting rooms, virtual meeting technology, catering, and candidate arrival logistics
  • Communicate with candidates throughout the recruiting process and provide timely, professional follow-up
  • Gather and track interview feedback
  • Maintain accurate and complete candidate information in the applicant tracking system
  • Prepare recurring and ad hoc reports for the HR team and Firm leadership
  • Help develop and maintain recruiting relationships with organizations in our markets
  • Facilitate and conduct new team member orientations
  • Participate in screening interviews
  • Coordinate new hire gifts
  • Process invoices and expense reports
  • Maintain internal resources such as recruiting intranet page, IceLearn, HRIS system and any future programs adopted by the team
  • Initiate background checks and communicate completed results to the Recruiting Manager
  • Assist with new position intake and calibration meetings
  • Provide excellent customer service to internal clients, prospective candidates, and other professionals throughout the Firm in responding to questions and concerns regarding the Team’s activities
  • Develop proficiency in technologies adopted now or in the future
  • Meaningfully contribute to improvement of Team’s programs, policies, and procedures
  • Provide back-up support and assist with research and special projects =
  • Conduct 30-day check-ins with all business professional new hires and escalate trends or concerns, as appropriate

Minimum Requirements

  • High school diploma required; Bachelor’s degree preferred
  • Prior experience in customer service
  • Ability to build effective working relationships at all levels of the organization
  • Ability to coordinate multiple calendars, projects, and competing priorities while meeting time-sensitive deadlines
  • Proactive approach to identifying opportunities for process improvement

  • Strong written and verbal communication skills
  • Ability to research and analyze various types of data

  • Strong Microsoft Word and Excel skills and ability to learn other computer programs quickly
  • Ability to perform all essential duties

Equipment Operated

This position requires extensive use of a computer and telephone. This position also requires the use of printing, copying, faxing and scanning equipment.
