Position Summary
Enlightened is seeking an organized, professional, and customer service-oriented Recruiting Administrative Assistant to support the daily coordination and administrative activities of the recruiting function.
This entry-level position is ideal for an individual interested in developing experience in recruiting, human resources, business administration, or talent acquisition. The selected candidate will receive hands-on training in interview coordination, candidate communications, recruitment tracking, records management, and general office support.
The Recruiting Administrative Assistant will help keep the hiring process organized and moving efficiently, allowing the recruiter to focus on sourcing, screening, interviewing, and identifying qualified candidates.
Essential Duties and Responsibilities
- Coordinate and schedule candidate phone screens, interviews, meetings, and follow-up discussions
- Communicate professionally with candidates, recruiters, hiring managers, and internal stakeholders
- Send interview confirmations, reminders, status updates, and other candidate correspondence
- Maintain recruiting calendars and help resolve scheduling conflicts
- Update candidate records, interview statuses, and recruitment tracking spreadsheets or systems
- Organize resumes, interview notes, job descriptions, and other recruiting documentation
- Assist with preparing interview schedules and candidate materials
- Follow up with candidates regarding availability, requested documents, and next steps
- Support job-posting and applicant-tracking activities as assigned
- Help ensure candidates receive a timely, organized, and professional recruitment experience
- Provide general administrative support to the recruiting, HR, and operations teams
- Assist with other related duties and special projects as needed
Minimum Qualifications
- High school diploma or GED required
- Basic experience with office administration, customer service, scheduling, or data entry through employment, internships, school activities, or volunteer work
- Basic proficiency with Microsoft Outlook, Word, Excel, and Teams
- Strong verbal and written communication skills
- Good organizational and time-management skills
- Ability to manage multiple assignments and changing priorities
- Strong attention to detail and commitment to accuracy
- Ability to maintain confidentiality when handling candidate and employee information
- Willingness to learn recruiting procedures, systems, and professional standards
Preferred Qualifications
- Associate degree, college coursework, or vocational training in human resources, business administration, communications, or a related field
- Previous administrative, reception, recruiting, or customer service experience
- Experience coordinating appointments, interviews, meetings, or calendars
- Familiarity with applicant-tracking systems, job boards, or Microsoft Excel
