The Talent Aquisition Systems Administrator is responsible for the configuration, administration, data governance, and continuous improvement of IES Holdings' iCIMS Applicant Tracking System (ATS) and Career Site CMS (CXM) platform across all five IES business units, which together comprise dozens of operating entities supporting high-volume hiring nationwide. This role owns the technical and operational backbone of the recruiting technology stack, from ATS bin/status workflows and job posting configuration to careers site content management, integrations, reporting, and vendor coordination.
The ideal candidate combines systems administration rigor with a strong customer-service orientation, acting as the primary point of contact for recruiters, hiring managers, and HR across this complex, multi-entity holding company structure. This role requires sound judgment and the confidence to advise against — and, when necessary, push back on — configurations that are technically possible but would undermine data integrity, cross-BU consistency, or platform best practice, all while maintaining a responsive, solutions-oriented relationship with each business unit. The Systems Administrator also functions as a process specialist across the recruiting, onboarding, and offer lifecycle, proactively guiding recruiters, hiring managers, and HR who may not have deep ATS or process expertise, rather than simply executing requests as submitted.
While the role will respond to day-to-day operational issues as they arise, it is fundamentally a proactive position: the Systems Administrator is expected to continually identify and lead improvements to ATS process, procedure, administration, reporting, and governance across all business units, rather than operating in a purely reactive, ticket-based mode. This role will also play a key part in onboarding new business units and entities into the iCIMS ecosystem as they are acquired.
Key Responsibilities
ATS Platform Administration & Configuration
- Serve as the primary system administrator for iCIMS across all IES business units, managing user permissions, workflows, bin/status configurations, and system settings.
- Configure and maintain job posting templates, application forms, and field requirements (e.g., Location vs. Workplace Type distinctions for remote roles) to ensure consistency and compliance across business units.
- Diagnose and resolve day-to-day ATS operational issues raised by recruiters and hiring managers, escalating to iCIMS support as needed and tracking cases (e.g., tax form updates, bin/status reorganizations) through resolution.
- Maintain and evolve the iCIMS CXM/CRM tag library, workflow statuses, and automation frameworks to support scalable, BU-agnostic recruiting processes.
Data Governance & Reporting
- Own data governance for the ATS, including data integrity, field standardization, retention practices, and compliance with applicable employment and privacy regulations.
- Establish and enforce data entry standards and system configuration guardrails across business units to ensure consistent, reportable, and auditable recruiting data.
- Build and maintain recruiting metrics, dashboards, and ad hoc reporting to support Talent Acquisition, HR, and business unit leadership decision-making.
- Partner with HR and Legal on compliance-related configuration needs (e.g., EEO/OFCCP reporting fields, state-specific disclosures, offer letter compliance language).
Continuous Improvement & Best-Practice Guidance
- Proactively audit ATS configuration, workflows, and reporting across business units to identify inefficiencies, inconsistencies, or improvement opportunities — treating recurring support requests as signals for systemic process fixes rather than one-off tickets.
- Evaluate configuration and process requests from business units against platform best practices, data governance standards, and cross-BU consistency, providing clear recommendations — including respectfully pushing back when a technically feasible request would create downstream risk, inconsistency, or reporting and compliance issues.
- Balance responsive, high-quality customer service with platform governance, ensuring that individual business unit preferences don't compromise the integrity, scalability, or reportability of the shared IES system.
- Serve as a subject matter expert on recruiting, onboarding, and offer processes within the ATS, proactively coaching recruiters, hiring managers, and HR who may lack system or process knowledge, and recommending process improvements where gaps are identified.
Careers Site & Employer Brand (CMS)
- Manage and maintain the iCIMS Career Site CMS (CXM) for all business units under the "One IES" employer brand framework, including header/footer configurations, branding, and typography standards.
- Coordinate with design/development resources and external vendors on careers site builds, mockups, and enhancements for each business unit's careers presence.
- Build and manage iCIMS Talent Community sign-up forms, workflows, and nurture campaigns across business units.
Integrations & Vendor Management
- Serve as the primary internal liaison with the iCIMS vendor team on platform configuration, integrations, defect resolution, and roadmap items, maintaining a living action item log and driving items to closure.
- Coordinate third-party job board and sourcing integrations (e.g., Indeed) and resolve posting/feed discrepancies (such as hiring organization name mismatches) in partnership with the vendor and internal stakeholders.
- Evaluate, test, and implement new iCIMS features, modules, and releases, assessing impact across all business units before rollout.
Business Unit Support, Training & Documentation
- Act as the go-to subject matter expert for recruiters and hiring managers across all business units on ATS use, troubleshooting, and best practices.
- Develop and maintain training materials, quick-reference guides, and hiring manager documentation for ATS processes and system changes.
- Lead the technical onboarding of new and acquired business units and entities into the iCIMS platform, including system configuration, data migration considerations, and end-user training.
Cross-Functional Project Coordination
- Partner with recruiters, hiring managers, and HR to plan and execute ATS-related projects, from careers site redesigns to new system rollouts.
- Support mergers and acquisitions activity by scoping and coordinating the integration of newly acquired entities' recruiting operations into the corporate ATS environment.
- 4+ years of hands-on administration experience with an enterprise Applicant Tracking System (iCIMS strongly preferred); direct iCIMS CXM/CMS experience a significant plus.
- Demonstrated experience configuring ATS workflows, bin/status structures, job posting rules, and user permissions in a multi-entity or multi-business-unit environment.
- Strong data governance mindset with experience building recruiting reports/dashboards and ensuring data accuracy and compliance.
- Experience coordinating with software vendors, including managing support cases, testing releases, and tracking multi-item action logs to resolution.
- Excellent written and verbal communication skills, with the ability to translate technical system concepts for non-technical stakeholders (recruiters, hiring managers, and HR).
- Demonstrated ability to balance strong customer service with sound judgment — comfortable advising against or pushing back on requests that are technically feasible but not advisable, while preserving positive working relationships across business units.
- Working knowledge of recruiting, onboarding, and offer processes sufficient to guide, train, and troubleshoot for internal stakeholders with varying levels of ATS proficiency.
- Track record of proactively identifying and driving process, configuration, or reporting improvements rather than solely responding to requests as they arise.
- Strong organizational skills and ability to manage multiple concurrent projects across business units with competing priorities.
- Proficiency with Microsoft Excel/Office required; comfort working with HTML/CSS for careers site content a plus.
Preferred Qualifications
- Bachelor's degree in Human Resources, Information Systems, Business, or related field, or equivalent professional experience.
- iCIMS certification(s) (e.g., iCIMS Certified Administrator) or equivalent platform-specific credentials.
- Experience supporting employer branding or careers site content management initiatives.
- Experience supporting recruiting technology through a merger, acquisition, or multi-entity integration.
- Familiarity with EEO/OFCCP compliance requirements and state-specific employment disclosures.
