Job Description
Position Purpose Summary
The Temporary Talent Acquisition Coordinator provides high-volume administrative and data-processing support for seasonal and temporary hiring activities.
Working within documented procedures, established service standards and defined Workday and ServiceNow workflows, the position receives and reviews hiring requests, enters and maintains accurate information, processes routine hiring transactions, monitors assigned tasks and tickets, and follows up to obtain missing information.
The position is accountable for the accuracy, completeness, timeliness and confidentiality of the information it processes. The Temporary Talent Acquisition Coordinator identifies and escalates exceptions, system issues, policy questions and complex cases to the appropriate Talent Acquisition or Human Resources team member.
This is a temporary, transactional coordination position. It does not independently make candidate-selection or hiring decisions, provide HR policy interpretation, configure systems, or hold responsibility for recruitment strategy, workforce planning or program governance.
Accountabilities
The incumbent performs the following principal responsibilities within the scope of assigned seasonal hiring activities.
ServiceNow intake and ticket administration : Review assigned ServiceNow requests for completeness, confirm that required information and supporting documentation have been submitted, update ticket status and record processing notes in accordance with established procedures.
Workday data entry : Enter and update candidate, worker, position, job, organizational and hiring information in Workday using approved source information and defined process instructions.
Hiring transaction processing: Process routine seasonal and temporary hiring transactions through the required Workday steps and monitor transactions until completion or handoff.
Data validation: Compare information across ServiceNow, Workday, approved templates and supporting documents; identify missing, inconsistent, duplicate or potentially inaccurate information before processing.
Work queue monitoring: Monitor assigned ServiceNow tickets, Workday inbox items and other approved work queues; prioritize transactions according to established deadlines, service standards and direction from the designated team lead.
Documentation Support: Collect, organize and record required hiring documentation; confirm receipt of required documents and acknowledgements without determining their legal or policy sufficiency.
Communication and follow-up: Contact hiring managers, HR representatives, candidates or designated internal partners to request missing information, clarify routine administrative details and provide standard status updates.
Tracking and reporting:Maintain accurate operational trackers and status records and provide routine volume, completion and outstanding-item information to the designated team lead.
Issue identification and escalation: Document and promptly escalate system errors, duplicate records, process exceptions, conflicting information, overdue dependencies and questions requiring policy interpretation or decision-making.
Privacy, confidentiality and compliance: Handle candidate and employee information securely and complete all work in accordance with privacy requirements, records-management practices, organizational policies and assigned system access.
The incumbent may perform other closely related administrative duties that are consistent with the temporary nature and evaluated scope of the position.

Education and Experience Qualifications
Education
- Completion of post-secondary education in Human Resources, business administration, office administration or a related discipline is preferred.
- An equivalent combination of education, training and relevant experience may be considered.
Experience and Knowledge
- Previous experience in data entry, administration, Human Resources, recruitment coordination, customer service or high-volume transaction processing.
- Experience working with confidential personal or employment information.
- Experience using Workday and ServiceNow is an asset; training may be provided.
- Experience working from standardized procedures, checklists or service-level requirements.
- Familiarity with seasonal or high-volume hiring environments is an asset.
- General understanding of recruitment or employee-data processes is beneficial but does not replace the requirement to follow established procedures.

- Proficiency with Microsoft Outlook, Word, Excel and Teams.
- Ability to learn and navigate Workday, ServiceNow and related digital tools.

Working Conditions
- Work is remote.
- Regular computer work and data entry for extended periods. eight hours per day.
- Frequent review of detailed information requiring sustained concentration and accuracy.
- Regular task switching among ServiceNow tickets, Workday transactions, email correspondence and tracking tools.
- Work volumes may fluctuate significantly during peak seasonal hiring periods.
- The position may be required to meet time-sensitive processing deadlines.
- Limited overtime or adjusted working hours may be required during peak periods, subject to advance authorization and applicable employment standards.
- Travel is not ordinarily expected unless specifically confirmed as a requirement.
- The position must work in compliance with occupational health and safety legislation and The Salvation Army’s health and safety policies and procedures.

Compensation
The target hiring salary for this temporary full-time position is $52,000 per year, prorated based on the duration of the temporary assignment.
Compensation
The target hiring range for this position is $50,897.60 to $63,627.20 with a maximum of $76,356.80.
Placement in the salary range will be based on factors such as market conditions, internal equity, and candidate experience, skills, and qualifications relevant to the role.
