Randolph-Macon College invites applications for a full-time Talent Acquisition & Onboarding Specialist. Reporting to the Chief Human Resources Officer, the Talent Acquisition & Onboarding Specialist coordinates and supports the College’s recruitment, selection, pre-employment, and onboarding processes. Serving as a key point of contact for candidates, hiring managers, and new employees, this position helps ensure a welcoming, efficient, and consistent experience throughout the hiring and onboarding process.
Essential Duties and Responsibilities
Talent Acquisition and Recruitment
- Manage full-cycle recruitment for exempt and nonexempt staff positions using ADP Workforce Now.
- Partner with and advise hiring managers throughout the recruitment process regarding job descriptions, minimum qualifications, recruitment strategies, interview processes, candidate selection, and required approvals.
- Prepare and post job advertisements across appropriate platforms, websites, job boards, and other recruitment sources.
- Monitor applicant activity, maintain accurate candidate information, and communicate with candidates throughout the recruitment process regarding application status, interviews, offers, and pre-employment requirements.
- Conduct phone screenings and coordinate candidate interviews, campus visits, reference checks, background checks, and drug screenings, as applicable.
- Meet with prospective hires, as appropriate, to review the College’s compensation and benefits package and provide information about the employment process; prepare and distribute employment offer letters and related documents for signature.
- Provide guidance and support to hiring managers regarding College recruitment policies and procedures.
- Identify opportunities to improve recruitment processes, candidate experience, and recruitment technology.
New Employee Onboarding
- Coordinate and manage the onboarding process for new faculty and staff, including adjunct faculty, ensuring required forms, documentation, and employment requirements are completed accurately and in a timely manner.
- Enter and maintain new employee information in ADP Workforce Now, including required HRIS updates.
- Ensure compliance with Form I-9 requirements, including the receipt and review of appropriate identity and employment authorization documents in accordance with applicable requirements.
- Coordinate with appropriate campus departments to ensure new employees have the information, access, and resources needed to begin employment successfully.
- Prepare and distribute new employee onboarding notices and provide new employees with information regarding Human Resources policies, benefits, onboarding requirements, and other employment-related matters.
- Serve as a primary point of contact for new employees throughout the onboarding process, responding to questions and directing employees to appropriate campus resources as needed.
- Identify opportunities to enhance and streamline the College’s onboarding process and overall new employee experience.
HRIS, Reporting, and Administrative Support
- Maintain accurate, complete, and confidential employee and recruitment records in ADP Workforce Now and other applicable systems, making updates and corrections as needed.
- Maintain recruitment and onboarding documentation in accordance with College policies and applicable laws and regulations.
- Assist with HR audits, compliance activities, reporting, and special projects as assigned.
- Support Human Resources initiatives, programs, and events as needed.
- Maintain the confidentiality of employee, applicant, and institutional information and perform other duties as assigned by the Chief Human Resources Officer.
Training and Experience
- Bachelor’s degree in Human Resources, Business Administration, or a related field; an equivalent combination of education and relevant experience may be considered.
- Three to five years of progressive Human Resources experience, including experience in recruitment and onboarding, required.
- Strong organizational skills and exceptional attention to detail.
- Excellent written and verbal communication skills with strong customer service and interpersonal skills.
- Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
- Proficiency with Microsoft Office Suite and the ability to learn and effectively use HRIS and recruitment systems.
Preferred Qualifications
- Experience working in a higher education environment.
- Experience with ADP Workforce Now, particularly the recruitment and onboarding modules.
