Major Functions
The Recruitment Training & Compliance Coordinator is responsible for managing full-cycle recruitment, onboarding, employee training, and workforce compliance activities for all staff. This position plays a critical role in attracting qualified candidates, ensuring successful onboarding, coordinating staff development opportunities, and maintaining compliance with required training, credentialing, and personnel documentation standards.The coordinator serves as a key partner to Human Resources leadership and Compliance to support workforce readiness, employee retention, and regulatory compliance while advancing the organization's mission of providing safe, quality services to children and families.
Talent Acquisition & Recruitment
- Manage full-cycle recruitment for all agency positions in partnership with HR Specialist.
- Develop and maintain candidate pipelines for direct care, administration, management, and support roles.
- Create and post job advertisements on recruitment platforms and social media.
- Screen applicants and conduct initial candidate interviews.
- Coordinate interviews with hiring managers.
- Conduct employment verification and reference checks.
- Prepare offer letters and coordinate hiring processes.
- Attend job fairs, community outreach events, college recruitment events, and networking opportunities.
- Develop partnerships with schools, workforce agencies, and community organizations.
- Track and report recruitment metrics, including time-to-fill, applicant flow, source effectiveness, vacancy rates, and new hire retention.
Background Screening Administration
- Coordinate pre-employment background screenings and recurring staff screenings in accordance with licensing requirements.
- Track completion of BCI/FBI checks, registry reviews, driving record checks, and other required screenings.
- Notify management regarding missing or expired documentation.
- Maintain documentation for screening completion.
Onboarding & New Employee Orientation
- Coordinate all pre-employment requirements.
- Ensure completion of onboarding documentation and personnel file requirements.
- Facilitate new employee orientation.
- Educate employees regarding organizational culture, policies, and expectations.
- Coordinate department-specific onboarding schedules.
- Monitor employee progress during introductory periods.
- Conduct new hire follow-up meetings.
Training & Employee Development
- Lead the monthly Education Team meetings to ensure compliance in all required trainings related to licensing requirements and train staff as appropriate to achieve licensing requirements and program quality standards.
- Develop and administer the agency's annual training plan.
- Coordinate required employee training programs.
- Facilitate classroom, virtual, and in-person training sessions to including CPR and First Aid.
- Maintain training calendars and schedules.
- Identify workforce development and training needs.
- Support employee career development initiatives.
- Assist managers with employee development planning.
- Coordinate leadership and supervisory training programs.
- Evaluate training effectiveness and employee learning outcomes.
- Recommend training improvements based on organizational needs.
- Compliance & Credential Management
Training Compliance
- Maintain the agency's training compliance tracking system.
- Monitor mandatory training completion requirements.
- Ensure all training requirements are completed within the required timeframes.
- Generate monthly compliance completion reports.
- Notify supervisors and employees regarding upcoming training deadlines.
- Coordinate recurring compliance training programs.
Credential & Certification Tracking
- Maintain records for required certifications and credentials.
- Track expiration dates for CPR, First Aid, Child Abuse Recognition, Communicable Disease, Mandated Reporter Training, driver certifications, and other agency-required credentials.
- Coordinate recertification training and renewal processes.
- Provide regular compliance status reports to the Human Resources Director and Compliance Manager.
Personnel File Compliance
- Ensure personnel files meet agency, licensing, and regulatory requirements.
- Monitor the completion of required employee documentation.
- Maintain onboarding and training records.
- Conduct periodic personnel filing audits and identifying deficiencies.
- Ensure confidentiality and secure maintenance of employee records.
Compliance and Quality
- Conduct internal program audits and compliance reviews related to direct service licensing requirements. Document and prepare reports of findings for executives, senior management, and other key stakeholders as needed.
- Conduct internal facility audits and compliance reviews related to safety and facility licensing requirements. Document and prepare reports of findings for executives, senior management, and other key stakeholders as needed.
- Recommend improvements and/or corrective action in a timely matter and as appropriate and provide training and consultation to ensure the highest level of compliance to standards and quality programming.
- Perform random compliance audits of program, client files, processes and facilities to ensure licensing standards.
- Engage appropriate managers as necessary to create and implement plans to manage
Employee Engagement & Retention
- Support employee recognition and engagement programs.
- Conduct stay interviews and onboarding feedback surveys.
- Assist with employee retention initiatives.
- Analyze turnover trends and recruitment outcomes.
- Recommend process improvements to support employee satisfaction and retention.
Required Education and Experience
High school diploma or GED equivalent required, bachelor’s degree in education, training, or associate degree and related experience preferred
Three years' experience in a training, HR, or administrative support position preferred.
Strong Microsoft Office Skills (Word, Excel, PowerPoint, Outlook)
Must complete CPR instructor training within six months of hire
Willingness to train in non-violent communication and crisis de-escalation

Position Type/Expected Hours of Work
This is a full-time, exempt position. Typical hours of work and days are Monday through Friday, 9:00 a.m. to 5:00 p.m. Occasional evening and weekend work may be required as job duties demand.
Physical Requirements
Candidate must be able to lift 40 pounds without restriction, bend at the waist, grasp, handle, and lift weight overhead, and have mobility in sitting, kneeling, crawling, and running which is required in daily course of work activities.
Work Environment
This position operates in a professional office environment and routinely uses standard office equipment, including but not limited to computers, telephones, fax machines, printers/copiers/scanners, and surveillance cameras. The role primarily involves sedentary work, requiring extended periods of sitting, with occasional walking and standing. Visual acuity is necessary for close-up work on computer screens.
