Recruitment Operations Coordinator

We are seeking a detail-oriented and proactive Recruitment Operations Coordinator to support our recruitment team by improving hiring workflows, coordinating day-to-day recruiting operations, and helping integrate and manage AI-enabled recruiting processes. This role is ideal for someone who enjoys balancing administrative excellence, process improvement, data accuracy, and cross-functional collaboration.

In this role, you will help ensure a smooth, efficient, and candidate-friendly hiring process while supporting recruiters, hiring managers, and internal stakeholders. The role will drive the optimization of AI tools that enhance sourcing, scheduling, reporting, and recruitment operations.

Key Responsibilities

Recruiting Coordination & Operations

  • Coordinate job postings, interviews, candidate communications, and scheduling across multiple stakeholders
  • Support recruiters and hiring managers throughout the hiring lifecycle
  • Maintain accurate candidate records in the applicant tracking system (ADP)
  • Post jobs across internal and external platforms and monitor listing accuracy
  • Assist with offer coordination, background check workflows, and onboarding handoffs
  • Track recruiting activity and ensure process compliance and timely follow-up
  • Help maintain recruiting documentation, templates, SOPs, and process guides

Process Improvement

  • Identify inefficiencies in recruiting workflows and recommend improvements
  • Standardize recruiting processes to improve consistency, speed, and candidate experience
  • Support implementation of new tools, automations, and operational best practices
  • Assist with project management for recruiting operations initiatives

AI Process Support

  • Help administer and support AI tools used in recruitment operations, such as sourcing support, scheduling automation, screening workflows, and reporting assistance
  • Assist with testing, rollout, training, and adoption of AI-enabled recruiting tools
  • Flag issues, biases, inaccuracies, or workflow breakdowns in AI-supported processes
  • Support documentation and governance for responsible AI use in recruiting

Reporting & Data Management

  • Generate recruiting reports and dashboards on metrics such as time-to-fill, pipeline activity, interview volume, and candidate conversion rates
  • Maintain data integrity across recruiting systems
  • Support audits, reporting requests, and operational analysis
  • Use recruiting data to help identify trends and areas for improvement

Qualifications

  • 3+ years of experience in recruiting coordination, talent operations, HR operations, or a similar role
  • Strong organizational skills and attention to detail
  • Experience working with applicant tracking systems and scheduling tools
  • Strong written and verbal communication skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Comfort working with data, reports, and process documentation
  • Experience with AI tools, workflow automation, and digital process improvement
  • Experience with reporting tools such as Excel, Power BI, Tableau, or similar dashboards
  • Understanding of recruiting compliance, data privacy, and candidate confidentiality
  • Experience documenting SOPs and improving operational processes

Environmental Factors

  • Working conditions are normal for an office environment.
  • Must be able to sit for extended periods of time.
  • Must be able to use a computer keyboard and view a monitor for extended periods of time.
  • This role requires Stamford, CT office on-site presence Monday through Thursday, with the flexibility to work remotely on Fridays.
