POSITION OVERVIEW

The Recruitment Administrator supports ThreatLocker’s recruiting and employee administration processes throughout the candidate and employee lifecycle. This role provides administrative and organizational support from resume review, candidate coordination, and interview scheduling through onboarding, employee records, employment changes, performance administration, and offboarding.

The ideal candidate is highly organized, detail-oriented, professional, and comfortable managing confidential information while coordinating multiple priorities. This position works closely with Talent Acquisition, leadership, Finance, IT, Facilities, Security, hiring managers, and other departments throughout the organization.

This role is based in Orlando, Florida and is an in-office position.

JOB SCOPE

The Recruitment Administrator is responsible for, but not limited to:

  • Review resumes and applications and assist with candidate research and sourcing.
  • Coordinate pre-screen calls, interviews, assessments, calendar invitations, and candidate communications.
  • Greet and assist candidates visiting the office and provide a professional candidate experience.
  • Maintain accurate candidate information and activity within the Applicant Tracking System (ATS).
  • Prepare candidate summaries and support recruiters, hiring managers, and leadership throughout the hiring process.
  • Coordinate successful candidates through the transition from recruitment to onboarding.
  • Prepare and maintain new hire paperwork, employment documentation, personnel files, and employee records.
  • Coordinate onboarding activities with IT, Facilities, Security, Finance, hiring managers, and other departments.
  • Support benefits enrollment, payroll setup, and other employee administrative requirements.
  • Process promotions, salary adjustments, transfers, department changes, and other employment changes.
  • Maintain PTO, leave, attendance, organizational charts, workforce records, and employment documentation.
  • Coordinate visa and immigration documentation when applicable.
  • Coordinate mandatory training, probationary periods, performance reviews, and other employee deadlines.
  • Maintain company policies, compliance documentation, and confidential candidate and employee records.
  • Prepare workforce reports, including headcount, turnover, leave balances, compliance, and other employee metrics.
  • Support internal and external employment-related audits.
  • Process resignations, separations, and approved terminations and coordinate offboarding with applicable departments.
  • Support day-to-day recruiting and corporate administration processes and projects.
  • Perform other duties as assigned.

REQUIRED QUALIFICATIONS

  • Minimum of 2 years of experience in recruitment coordination, Human Resources administration, corporate administration, operations administration, or a related administrative role.
  • Bachelor’s degree in Human Resources, Business Administration, Management, or a related field preferred.
  • Experience using an Applicant Tracking System (ATS) and/or HRIS platform.
  • Experience with recruiting coordination, onboarding, employee administration, or offboarding preferred.
  • Strong organizational and time-management skills with the ability to manage multiple priorities.
  • Excellent attention to detail and ability to maintain accurate records.
  • Strong written and verbal communication skills.
  • Professional and approachable when interacting with candidates, employees, managers, and leadership.
  • Ability to maintain confidentiality while handling sensitive candidate and employee information.
  • Proficiency with Microsoft Office Suite, including Excel, Outlook, and Teams.
  • Ability to work collaboratively across multiple departments.
  • Proactive and adaptable with an interest in developing broader recruiting and employee administration experience.

WORKING CONDITIONS

  • The job will generally be performed in an office environment but may require travel to visit company offices and other business locations.
  • While performing the duties of this job, the employee may occasionally be required to stand, walk, sit, reach with hands and arms, climb or balance, stoop or kneel, talk and hear, and use fingers and hands to feel objects and tools.
  • Must occasionally lift and/or move up to 25 pounds.
  • Specific vision abilities required include close vision, distance vision, depth perception, and the ability to adjust focus.

A background check and drug/substance screening are required after a conditional offer. Employment will proceed only upon receiving clear results from both.

ThreatLocker also conducts randomized drug and substance testing approximately every 60 days, in line with the same screening standards.
