Position Overview

The Recruiting Operations Specialist coordinates and manages recruiting operations for both the Campus Recruiting and Talent Acquisition teams through effective use of Workday, process administration, data analysis, reporting, communications, and program support. This role contributes to the continued modernization of recruiting operations by supporting process improvements, workflow enhancements, accurate data, and the effective use of technology. Through strong organization, follow-through, and cross-functional coordination, the Recruiting Operations Specialist helps improve efficiency, consistency, and the candidate experience while supporting the firm’s growth and hiring needs.

Responsibilities

Recruiting Technology, Process Improvement & Operational Support

  • Support the effective use of Workday to centralize data, increase productivity, and simplify recruiting processes.
  • Partner with Talent Acquisition, Campus Recruiting and People Operations to support technology solutions aligned with recruiting goals.
  • Coordinate with the HRIS Manager to support recruiting technology initiatives, leverage Workday functionality, and provide ongoing support and troubleshooting support to team members.
  • Identify opportunities for automation and process improvement and share recommendations with recruiting leadership.
  • Support approved solutions that improve efficiency and effectiveness.
  • Support the continued modernization and standardization of operations across both the Campus Recruiting and Talent Acquisition teams by coordinating workflow enhancements, helping reduce unnecessary manual steps, and improving consistency throughout the recruiting lifecycle.
  • Use Workday Community to stay informed about system improvements and updates.
  • Help recruiting team members understand how to use systems effectively and have the resources needed to be successful.
  • Support cross-functional projects and administrative activities in partnership with the People Operations team, as needed.

Workday Administration & Recruiting Workflow Coordination

  • Serve as a primary Workday resource for both recruiting teams.
  • Manage Event set up and Communications/Candidate Engagement in Workday.
  • Manage job requisition creation, job description matching, and posting activities in Workday.
  • Coordinate offer letter and background check administration.
  • Process and review background checks for all new hires.
  • Maintain and update employee referral tracking to ensure Referrers receive timely payments

Recruiting Operations & Budget Support

  • Support the year-round daily operations of the Campus Recruiting team.
  • Coordinate spring and summer internship program logistics and communications, serving as a key liaison between interns, hiring teams, and other internal stakeholders to support a positive and engaging intern experience.
  • Help improve and streamline processes that support a positive candidate experience throughout the recruiting workflow.
  • Track campus recruiting expenditures and support annual budget coordination for events, workshops, training, recruiting activities, promotional materials, and related expenses.

Candidate Communications, Engagement & Promotional Materials

  • Oversee communications for incoming pipeline candidates and prospective talent, including email, text, and candidate engagement campaigns.
  • Manage branded swag inventory and orders.
  • Coordinate and execute exam care packages.
  • Lead Principal and Partner level agenda preparation.
  • Partner with the Marketing/Growth team to help ensure brand standards are met.

Recruiting Data, Analytics & Program Support

  • Develop reporting for both Campus Recruiting and Talent Acquisition.
  • Manage the employee referral process and related data administration.
  • Collect, organize, and analyze historical and current hiring data to provide useful, actionable information.
  • Verify and audit candidate and pipeline data entered in Workday.
  • Gather and review information about the effectiveness of campus programs and services and share recommendations for improvement.
  • Generate and analyze reports on conversion rates, recruiting outcomes, pipeline statistics, and feedback

Campus Hiring & Onboarding Coordination

  • Coordinate with Campus Recruiting and People Operations team to support the successful onboarding of entry-level hires.
  • Manage the Becker direct-bill process for associates.
  • Manage the CPA bonus reimbursement process for entry-level associates.

Qualifications

  • Bachelor’s degree or equivalent relevant experience.
  • 2+ years of experience in recruiting coordination, HR operations, program support, or a related role.
  • Experience with applicant tracking systems or HR technology; Workday preferred.
  • Strong organizational, communication, and follow-through skills.
  • High attention to detail and comfort working with data and reports.
  • Ability to coordinate multiple priorities and collaborate across teams.
  • Proficiency in Microsoft Office, particularly Excel.
  • Campus recruiting, internship program, or event coordination experience is a plus.

Working Environment

While performing the duties of this Job, the employee will work under typical office conditions, with the noise level typically being quiet to moderate. Occasional exposure to outside environment when traveling to and from off-site venues for meetings/training/events, or other locations as requested*.
