The Enrollment and Engagement Coordinator serves as the primary point of contact for prospective Professional Education students. The position supports enrollment growth by promoting Professional Education programs, responding to inquiries, engaging prospective students, identifying appropriate educational opportunities, and guiding individuals toward programs that align with their professional and educational goals.
The Coordinator develops a strong working knowledge of the Professional Education portfolio and consistently represents and promotes the unit through individual outreach, presentations, information sessions, community and professional events, and other engagement opportunities. The position manages incoming inquiries by phone, email, and in person; maintains prospective student relationships through the School's customer relationship management system (CRM); and supports continued engagement with current and former students by sharing relevant new offerings.
The Coordinator also supports the development of organizational and community partnerships, collaborates with the Marketing & Engagement team on enrollment-focused communications and outreach, assists with recruitment and engagement events, and provides program and current student support as needed.
JOB DUTIES/RESPONSIBILITIES
Enrollment and Student Engagement
- Serves as the primary point of contact for individuals interested in Professional Education programs; manages the departmental email inbox; and responds to or routes phone, email, and in-person inquiries in a timely, professional, and helpful manner.
- Develops and maintains detailed knowledge of the Professional Education portfolio to answer questions, recommend appropriate programs, and create and deliver presentations and other informational resources.
- Collaborates with Senior Program Managers, the Associate Dean of Enrollment Management and Admissions (ADEMA), and the Marketing & Engagement team to develop and execute comprehensive enrollment and outreach plans, expand the prospective student pool, and identify new recruitment opportunities.
- Engages and guides prospective students through phone, email, individual meetings, presentations, information sessions, and other outreach activities; uses the School's CRM (Slate) to document, track, and advance prospective students through the enrollment process. Represents SPCS and the University at community and educational events, employment fairs, professional conferences, and other recruitment and outreach opportunities throughout the Richmond region, the Commonwealth, and beyond.
- Tracks and reports on enrollment and engagement activities and the effectiveness of recruitment strategies; recommends improvements; maintains related standard operating procedures (SOPs); and provides additional enrollment and engagement support as directed.
Partnership Development
- Develops and maintains a process and pipeline for researching and identifying businesses, employers, educational institutions, professional associations, and community organizations that may benefit from Professional Education programming, customized training, or other educational opportunities.
- Manages initial inbound and outbound partnership outreach and conducts preliminary conversations to understand organizational needs and assess alignment with Professional Education capabilities.
- Tracks partnership prospects, activities, and outcomes and transitions qualified opportunities to Senior Program Managers and/or the Director of Professional Education for relationship development, program design, and implementation.
Communications
- Supports enrollment-focused communications to prospective, current, and former students in collaboration with Senior Program Managers and the Marketing & Engagement team, including regular outreach and follow-up that encourages continued engagement and movement toward enrollment.
- Communicates program updates and changes to the Marketing & Engagement team to support accurate web and promotional content and assists with student and instructor communications, internal and external publications, and official announcements through Slate and other communication platforms.
- Reviews prospective student questions, feedback, interests, and inquiry trends; shares relevant insights with program and marketing staff; recommends potential growth areas; and provides additional communications support as directed.
Marketing and Engagement Support
- Collaborates with Senior Program Managers and the Marketing & Engagement team to support marketing and communication strategies that increase awareness, engagement, and enrollment in Professional Education programs.
- Provides program knowledge and prospective student insights to support print materials, digital advertising, email campaigns, presentations, social media content, feature stories, and other promotional efforts.
- Supports outreach through professional associations, employers, educational institutions, alumni, and community organizations; identifies opportunities to increase Professional Education visibility; and collaborates with the Marketing & Engagement team and ADEMA to evaluate and improve outreach and engagement strategies.
Event Planning and Outreach
- Plans, coordinates, and supports campus, community, organization-specific, and virtual events that promote Professional Education and engage prospective students, including tabling opportunities, information sessions, open houses, and program graduations.
- Serves as a point of contact for vendors, venues, professional organizations, and partner organizations; coordinates event logistics, materials, staffing, and technology; and represents Professional Education by directly engaging prospective students and community members.
- Evaluates and reports on the effectiveness of events as enrollment and engagement strategies and provides additional event support as directed.
- Assists Program Managers with program administration, instructor communication, and student support and serves as a resource who connects newly enrolled students with appropriate program staff and information.
- Coordinates logistics for Professional Education classes, orientations, instructor trainings, graduations, and other program activities.
- Provides basic classroom technology and logistical support to instructors and assists with the preparation and distribution of program materials and student communications.
- Identifies and recommends processes, tools, and practices that improve the student experience, enrollment processes, or departmental efficiency and provides additional program support as directed.
SUPERVISION EXERCISED
- Occasional supervision of other Program Coordinators, Specialist, Student Employees, and Instructors
WORKING CONDITIONS/PHYSICAL EFFORT
- Environment – Work may be required:
- On campus in School of Professional & Continued Studies office and other on campus locations or off campus venues or locations

- Physically capable of setting up displays, display “tents,” tables, signage, and walking
and standing for extended periods of time
- Must be able to move, lift and carry up to 30 pounds
QUALIFICATIONS
- Understanding of the operations/processes of higher education
- Knowledge of noncredit education, professional development, continuing education, workforce development, or related educational programming preferred.
- Strong organizational, project management, and follow-through skills.
- Ability to quickly develop and maintain detailed knowledge of a broad portfolio of Professional Education programs.
- Strong interpersonal and relationship-building skills, with the ability to engage effectively with prospective students, current students, employers, community organizations, and professional partners.
- Strong written and verbal communication skills.
- Strong presentation and public speaking skills.
- Ability to conduct proactive outreach and develop new prospective student and partnership opportunities.

Education & experience
- Bachelor’s degree required
- Experience in higher education, continuing education, professional education, student engagement, enrollment management, recruitment, sales, community outreach, workforce development, or a related field preferred.
- Experience developing relationships with prospective students, customers, clients, community organizations, or business partners preferred.
- Experience with program administration, project management, event coordination, or partnership development preferred.
- Experience using CRM systems to manage prospective student, customer, or client relationships preferred.
Schedule
- University of Richmond office hours 8:30am – 5pm; Monday – Friday, 38.75 per week
- Required to work evenings and weekends as needed for special events
Salary Exempt Grade 5: $43,867 to $58,136
