We are looking for an organized, people-focused Onboarding & Recruiting Specialist to support our talent acquisition and employee onboarding processes from first contact through a new hire’s first days with the company.

In this role, you will help create a positive candidate and new-hire experience by coordinating interviews, maintaining recruiting workflows, communicating with candidates, preparing onboarding materials, and ensuring new employees have everything they need to get off to a successful start.

The ideal candidate is highly organized, responsive, detail-oriented, and comfortable managing multiple priorities while working with candidates, hiring managers, and internal teams.

Normal Work Schedule: Monday through Friday, 7:00 am to 4:00 pm

This position requires flexibility to work outside of regular business hours including occasional early mornings, evenings and weekends, as needed to support recruiting activities, career fairs, hiring events, company events, and other business needs.

Key Responsibilities Include

Recruiting

  • Coordinate recruiting activities and maintain accurate candidate records throughout the hiring process.
  • Schedule interviews and communicate interview details and next steps to candidates.
  • Partner with hiring managers to coordinate interview processes and maintain hiring timelines.
  • Assist with job postings, candidate outreach, resume screening, and applicant tracking.
  • Communicate with candidates throughout the recruiting process and provide a professional, positive experience.
  • Prepare recruiting reports and help track key hiring metrics.
  • Support background checks, reference checks, and other pre-employment requirements as needed.

Onboarding

  • Coordinate the onboarding process from offer acceptance through the new hire’s first day.
  • Prepare and distribute onboarding materials, forms, and new-hire communications.
  • Coordinate new-hire paperwork and ensure required documentation is completed accurately and on time.
  • Work with HR, IT, managers, and other internal teams to ensure new hires have the appropriate systems, equipment, access, and resources.
  • Schedule orientation, training, and introductory meetings.
  • Follow up with new hires and managers to ensure a smooth transition into the organization.
  • Maintain accurate employee and onboarding records while handling confidential information appropriately.

Employee Experience & Process Improvement

  • Serve as a helpful point of contact for candidates and new employees throughout the recruiting and onboarding process.
  • Identify opportunities to improve recruiting and onboarding workflows, communications, and overall employee experience.
  • Help develop and maintain recruiting and onboarding templates, checklists, guides, and resources.
  • Ensure processes are consistent, organized, and aligned with company policies.
  • Provide front desk and reception coverage as needed.

Summary of Pay

  • $25.00/hour - $28.00/hour
  • Pay is dependent on education, experience, and skills.
