Recruiting & Onboarding Specialist

Partners is seeking a people-centered, highly organized Recruiting & Onboarding Specialist to help us attract, hire, and welcome employees into our growing commercial janitorial organization.

This role is more than filling open positions. The Recruiting & Onboarding Specialist is responsible for creating a responsive, organized, and hospitable experience from the moment a candidate first interacts with our company through their transition out to the field.

The ideal candidate understands that for many employees, the recruiting and onboarding process is their first impression of our organization. This person should naturally make people feel welcomed, respected, informed, and prepared while also maintaining the urgency and follow-through required in a high-volume hourly recruiting environment.

Key Responsibilities

Recruiting & Candidate Experience

  • Manage full-cycle recruiting for frontline janitorial and operational positions.
  • Post and maintain job openings across appropriate recruiting platforms.
  • Review applications and identify candidates who meet position requirements.
  • Conduct phone screens, coordinate interviews and hire for frontline positions.
  • Maintain timely and professional communication with candidates throughout the recruiting process.
  • Clearly communicate job expectations, work schedules, location, compensation, and physical requirements before hire.
  • Coordinate background checks, employment documentation, and other pre-employment requirements.
  • Maintain an active pipeline of qualified candidates for recurring and anticipated staffing needs.
  • Partner closely with Operations to understand staffing priorities, upcoming client launches, turnover, and urgent vacancies.
  • Ensure candidates who are not selected are treated professionally and receive appropriate communication.

Onboarding & New-Hire Experience

  • Serve as a welcoming and knowledgeable point of contact for new employees.
  • Coordinate the pre-employment and onboarding process from accepted offer through the employee's first day.
  • Prepare onboarding materials and ensure required employment documentation is complete and accurate.
  • Guide new hires through company expectations, payroll/timekeeping processes, workplace policies, safety requirements, and other introductory information.
  • Ensure new hires understand where to report, when to arrive, who they will meet, what to bring, and what to expect on their first day.
  • Coordinate closely with Operations to ensure a supervisor or manager is prepared to receive each new employee at their assigned client location.
  • Conduct appropriate follow-up with new hires to identify early questions, concerns, or onboarding gaps.
  • Look for opportunities to continuously improve the new-hire experience and strengthen early employee retention.
  • Coordinating onboarding and conducting new-hire orientation.

Recruiting Operations

  • Maintain accurate applicant and hiring records within the company's HR and recruiting systems.
  • Track recruiting activity, open positions, candidate pipelines, time-to-fill, hiring sources, new-hire attendance, and early turnover.
  • Identify patterns affecting recruiting success and communicate findings to People Operations leadership.
  • Maintain organized recruiting documentation and ensure appropriate confidentiality.
  • Support hiring events, job fairs, referral initiatives, and community recruiting partnerships.
  • Develop relationships with community organizations and other talent sources that can strengthen the company's candidate pipeline.

Qualifications

Required

  • 2+ years of experience in recruiting, staffing, onboarding, hospitality, customer service, or another people-facing role.
  • Experience working in a fast-paced environment requiring frequent follow-up and coordination.
  • Strong interpersonal skills and the ability to build rapport with candidates from different backgrounds.
  • Excellent organization and attention to detail.
  • Strong written and verbal communication skills.
  • Ability to manage multiple open positions and competing priorities.
  • Comfortable using applicant tracking systems, HR systems, job boards, email, spreadsheets, and other recruiting technology.
  • Professional judgment when handling confidential employee and candidate information.
  • Ability to work independently while partnering closely with Operations and People Operations.
  • Bilingual in English and Spanish.

Strongly Preferred

  • Experience recruiting hourly or frontline employees.
  • Experience in commercial janitorial, hospitality, facilities, staffing, retail, restaurant, healthcare, logistics, or another high-volume service environment.
  • Experience recruiting employees across multiple locations or work sites.
