The Role in Brief

Project Specialist, Adult Learner Recruitment

As part of the ALR Operational Planning department, the Project Specialist owns day-to-day coordination of Partner marketing campaigns by maintaining accurate project requirements, schedules, documentation, and cross-functional stakeholder communication. The Project Specialist uses established systems and processes to monitor campaign progress, identify risks or missing inputs, facilitate timely next steps, and escalate issues when appropriate.

Working closely with Account Managers, Strategic Leaders, and cross-functional delivery teams, the Project Specialist ensures campaigns move efficiently through development and deployment while meeting established quality standards, Partner commitments, and internal deadlines. This role is well suited for someone who is detail-oriented, resourceful, comfortable managing competing priorities, and motivated to develop greater expertise in campaign operations and project management.

This position may be based in either Richmond, VA or Washington, D.C.

Primary Responsibilities

  • Own day-to-day project coordination for assigned marketing campaigns, ensuring that requirements, timelines, decisions, dependencies, and risks are visible and actively managed from kickoff through delivery.
  • Maintain campaign project records and workflow systems as reliable sources of truth for project status, ownership, dependencies, and key decisions.
  • Facilitate project kickoffs, internal reviews, and other campaign checkpoints using established processes and documentation standards.
  • Monitor campaign timelines and dependencies, including Partner and internal accountabilities, and follow up with responsible stakeholders to keep work progressing.
  • Review campaign documentation and handoffs for completeness and accuracy before work advances to downstream teams.
  • Proactively identify missing inputs, conflicting direction, timeline risks, or changes that may affect campaign quality or delivery; communicate risks and escalate when appropriate.
  • Resolve project roadblocks independently by clarifying requirements, aligning stakeholders, and recommending practical next steps; escalate decisions when they require changes to scope, commitments or delivery timing.
  • Coordinate routine issue resolution by clarifying ownership, facilitating communication, documenting decisions, and confirming next steps with the appropriate parties.
  • Communicate campaign status, changes, delays, and decisions clearly and consistently so affected stakeholders understand their responsibilities and potential downstream impact.
  • Prioritize work across competing deadlines using campaign timing, dependencies, urgency, and Partner impact.
  • Apply established operational standards consistently while using sound judgment to recognize when additional guidance or escalation is needed.
  • Identify recurring workflow challenges or opportunities for greater efficiency and share recommendations with team leadership.
  • Participate in training, cross-functional initiatives, and special Operational Planning projects that build functional expertise and improve team execution.

Basic Qualifications

  • Bachelor's degree
  • 2+ years of experience in project management, ideally supporting marketing campaigns, client-facing deliverables, or cross-functional workflows
  • Demonstrated organizational and project-coordination skills, including the ability to manage multiple assignments and competing deadlines
  • Strong written and verbal communication skills, with the ability to communicate status, responsibilities, and next steps clearly
  • Demonstrated attention to detail and commitment to maintaining accurate documentation
  • Proficiency with Microsoft Excel, PowerPoint, Outlook, and project-management or workflow systems; ability to learn new tools quickly

Ideal Qualifications

  • Resourceful and curious, with the ability to investigate routine issues and determine appropriate next steps
  • Sound judgment regarding when to resolve an issue independently, seek guidance, or escalate a risk
  • Ability to anticipate how delays, incomplete inputs, or changes may affect downstream work
  • Experience coordinating work across multiple teams with different priorities, timelines, and decision-makers
  • Ability to prioritize work based on urgency, dependencies, and business or Partner impact
  • Experience using project-management or workflow systems to track milestones, dependencies, risks, and actions.
  • Ability to lead structured meetings, document decisions, and hold stakeholders accountable for agreed-upon next steps.
  • Ability to identify opportunities for improvement while following established processes and decision-making structures.
  • Ability to analyze project information, identify patterns or recurring issues, and recommend improvements.
  • Familiarity with Agile principles and experience working in an iterative, collaborative environment where priorities, requirements, and timelines may evolve.
  • Commitment to embracing a continual learning environment and contributing to a dynamic and welcoming culture of fairness, authenticity, and belonging in support of EAB’s mission, values, and aspiration.
