Reporting to the Senior Manager of Strategic Lateral Growth, this role works closely with firm leadership, attorneys, recruiting colleagues, candidates, search firms, and internal stakeholders to coordinate recruiting activities and deliver a seamless, professional candidate experience. You’ll play an important role in managing interview schedules, maintaining candidate records, coordinating approvals, and ensuring recruiting processes move forward efficiently and accurately.

This position is ideal for a highly organized, proactive professional who thrives in a fast-paced, deadline-driven environment and enjoys supporting senior stakeholders while managing multiple priorities. The role requires strong communication skills, sound judgment, discretion, and a commitment to providing exceptional service to candidates and internal clients.

This position is not eligible for immigration sponsorship. Candidates must be legally authorized to work in the United States without employer sponsorship now or in the future.

What You'll Do

  • Provide day-to-day administrative and coordination support throughout the lateral partner and senior counsel recruiting process.
  • Coordinate complex interview schedules across offices and time zones, resolve scheduling conflicts, prepare candidate materials and meeting reminders, and communicate changes promptly.
  • Enter, review, and maintain accurate candidate records, including submissions, interviews, status changes, key dates, outstanding items, and next steps.
  • Prepare meeting agendas and supporting materials, participate in calls, take accurate notes, distribute meeting summaries, and track action items through completion.
  • Collect and track interviewer feedback, follow up with stakeholders, and prepare initial drafts of business cases, diligence checklists, and supporting documentation for management review and approval.
  • Communicate professionally with candidates and search firms, collect required information and documentation, provide timely process updates, and escalate sensitive matters appropriately.
  • Maintain organized candidate documentation and electronic files, ensuring accuracy, completeness, confidentiality, and adherence to established filing and version-control practices.
  • Collaborate with Legal Practice Assistants, Growth & Analytics, Professional Standards, Conflicts, Benefits, Finance, Human Resources, the Library, and third-party screening providers to support candidate progression.
  • Assist with recruiting reports, special projects, and process-improvement initiatives.
  • Follow established procedures, manage competing priorities and deadlines, communicate potential delays proactively, and track assignments through completion.
  • Maintain availability during regularly scheduled working hours and be willing to work overtime as needed.

What You'll Bring

  • Outstanding written and verbal communication skills, with the ability to interact professionally with attorneys, candidates, firm leadership, and staff at all levels.
  • Strong organizational skills and meticulous attention to detail, including proofreading for spelling, grammar, formatting, and accuracy.
  • Ability to manage multiple priorities, competing demands, and deadlines in a fast-paced environment.
  • Ability to work independently and collaborate effectively as part of a team.
  • A proactive, self-motivated, positive, and service-oriented approach.
  • Excellent interpersonal skills, reliability, punctuality, and flexibility.
  • Sound judgment, professional maturity, and the ability to handle confidential information with discretion.
  • Proficiency in Microsoft Word, Excel, PowerPoint, Outlook, OneNote, and other business applications as needed.
  • A bachelor’s degree from a four-year college or university, or directly related experience.
  • At least two years of experience in recruiting coordination, professional services, legal administration, human resources, executive support, or a related fast-paced environment.

Preferred Qualifications

  • Prior law firm or legal recruiting experience.
  • Experience supporting senior executives, attorneys, partners, committees, or practice group leadership.
  • Experience coordinating complex calendars, interviews, or programs across multiple office locations and time zones.
  • Familiarity with viRecruit or similar recruiting tracking systems.
