Position Summary

Provides HR assistance and administrative support for the Human Resources Director by initiating, coordinating, and planning requirements for day-to-day functions. Provides full-cycle recruitment, including sourcing, screening, interviewing, and candidate evaluation, for the Human Resources Department.

Essential Duties & Responsibilities

  1. Greet guests to the HR Department
  2. Answer questions, direct to appropriate person
  3. Coordinate the backend onboarding lifecycle by entering and setting up newly hired employees into the payroll, HRIS, and tracking systems once their paperwork is completed.

  5. Monitor retirement plan website daily regarding new employees and employee changes
  6. Assist with online enrollments of newly eligible employees
  7. Maintain employee records and benefits information within HR systems
  8. Process employee benefit changes and ensure accurate documentation
  9. Audit and reconcile monthly benefits insurance carrier invoices to ensure billing accuracy.
  10. Monitor/update the unemployment website daily
  11. Assist with annual open enrollment, handle new hire registrations, process life status changes, and manage terminations.
  12. Employee files/information
  13. Support day-to-day human resources operations, including employee record management, HR documentation, employee communications, data entry, and maintaining accurate personnel information.
  14. Assemble new employee files / Paycom data entry in the order of the check sheet
  15. Update Position Control with dates of documents as they are received
  16. Keep employee files organized as per the check sheet
  17. Data entry in HRIS
  18. Update employees’ benefits in Paycom when changes are made in benefit websites
  19. Update all platforms regarding employee terminations
  20. Recruiting
  21. Post and promote job openings on the company's careers page, relevant job boards, and professional networks to attract qualified candidates.
  22. Actively source and engage candidates through online channels, including job boards, professional networks, college career platforms, portfolio sites, and employee referrals.
  23. Screen resumes and applications to assess qualifications and shortlist candidates for interviews, while ensuring timely and professional candidate communication.
  24. Maintain continuous communication with candidates to ensure a positive experience throughout the hiring process.
  25. Conduct initial candidate screening (phone, video, or in-person) and assist in coordinating subsequent interview rounds with hiring teams.
  26. Maintain accurate and up-to-date records in the position control system, ensuring compliance with internal and external documentation requirements.
  27. Evaluate candidates’ qualifications and cultural fit based on the organization’s values and mission statement.
  28. Communicate clearly and promptly with candidates throughout the hiring process, providing timely updates, answering questions, and setting expectations.
  29. Provide structured feedback to candidates, when appropriate, in coordination with hiring managers.
  30. Support onboarding coordination via a proper notification process.
  31. Collaborate with the HR leadership to monitor recruitment metrics, track open requisitions, and prepare status updates and reports assigned.
  32. Maintain confidentiality and professionalism in all candidate interactions and data handling.
  33. Ensure that application packets have been completed with all required information and signatures
  34. Forward copy of qualified applications to hiring managers, when applicable
  35. Once an applicant has been offered a position
  36. On the same day we receive the offer letter from the Hiring Manager, fax the Wolfe / Background check form and the Drug Test Release form

  38. Acceptable – Complete pre-employment drug testing
  39. Questionable – give to HR Director to review Drug Test results
  40. Acceptable – call the applicant to schedule for the next Orientation
  41. Questionable – give to HR Director to review
  42. Print an Employee File Check List
  43. Check off all items received to date
  44. Highlight all missing items
  45. Check driving record
  46. Check new hire driving record
  47. Ensure insurance driving list is updated
  48. Perform additional recruitment-related tasks and projects assigned by the HR leadership
  49. Training
  50. Create Agenda and confirm/inform/coordinate trainers and participants to include conference room reservations
  51. Support onboarding processes: prepare orientation materials, collect required documentation, assist with training schedules, and prepare new hire snapshots.
  52. Complete E-Verify process on first day of hire
  53. Act as a backup person for the orientation class/schedule
  54. Complete company-wide background and DMV check every two years.
  55. Employee Relations
  56. Assist with company give-a-ways, acknowledgement lists, postings
  57. Assist with company outings and parties
  58. Other projects/tasks as assigned

Education/Training

Must have a minimum of 2+ years of combined experience in full cycle recruiting, HR operations, HR coordinator or HR administrative experience. College degree in Human Resources, Business Administration, or related field, preferred; HR certification or in progress (PHR, SHRM-CP, or equivalent) a plus. Must adhere to all ethical standards as set forth by SHRM and IWC Code of Ethics.

Special Skills/Abilities

Should have broad background of basic office responsibilities and ability to efficiently operate computer equipment as well as other general office equipment such as fax machines, copies, postage meters, etc. Must have thorough working knowledge of Word, Microsoft Office, and Excel. Must be highly organized, accurate, multi-task oriented, independent/self-motivated, timely, possess excellent interpersonal skills, maintain professional appearance, possess good oral & written communication skills, maintain positive attitude, ability to maintain confidentiality with administrative duties, and leadership skills. Driver’s license required.

Ability to follow oral and written instructions. Strong organizational skills and the ability to provide self-directed follow-up are mandatory. Ability to work well with constant ‘changes in direction’ and/or interruptions. Exceptional interpersonal skills are necessary for this position.

Mental Effort: Ability to understand and follow complex verbal & written instructions, technical and computer language as well as legal terminology. Good common sense thinking and ability to function independently. Good problem-solving ability.

Visual Effort: Well-lighted office environment requiring average amount of visual effort.

Physical Requirements: Office environment not usually requiring ongoing strenuous physical qualifications. May require occasional lifting of 40 pounds.

Safety: Typically, a low risk of injury due to typical office environment. IWC’s philosophy is to provide the safest work environment possible while meeting requirements from OSHA and other regulatory agencies.

Working Conditions: Normal office environment, which is not exposed to extremes in temperature, humidity, dust, or pollutants.
