Intake, Recruiting & Scheduling Coordinator

A&C Private HomeCare is seeking an organized, dependable, and motivated Intake, Recruiting & Scheduling Coordinator to join our growing team!
This individual will play an essential role in coordinating new client referrals, recruiting qualified caregivers, and ensuring clients are staffed in a timely and consistent manner. The ideal candidate must be proactive, detail-oriented, and capable of managing multiple responsibilities in a fast-paced home care environment.
Key Responsibilities
Intake & Referral Coordination
- Monitor incoming client referrals and process new referrals in a timely manner.
- Review referral packets and verify documentation for accuracy and completeness.
- Conduct initial client intake calls to gather service needs, schedules, and important client information.
- Communicate referral updates and coordinate the transition from intake to staffing.
Recruiting & Onboarding
- Actively recruit, screen, and interview potential caregivers.
- Review applications and coordinate the caregiver onboarding process.
- Follow up on outstanding employment documents and compliance requirements.
- Identify qualified caregivers to meet current and upcoming client staffing needs.
Scheduling & Staffing
- Match qualified caregivers with client needs and requested schedules.
- Coordinate caregiver placements, start dates, and schedule changes.
- Proactively address staffing gaps and assist with securing coverage.
- Communicate staffing updates and concerns with clients, caregivers, and care coordinators.
Administrative & Team Responsibilities
- Maintain accurate client and caregiver records.
- Ensure timely follow-up on referrals, applicants, and outstanding documentation.
- Work collaboratively with care coordinators to support client retention and continuity of care.
- Prioritize timely placement of caregivers to minimize delays in services.
Qualifications
- Strong communication, organizational, and time-management skills.
- Ability to multitask and prioritize responsibilities effectively.
- Excellent follow-up, problem-solving, and interpersonal skills.
- Ability to work independently and as part of a team.
- Proficiency in Microsoft Office and computer-based systems.
- Previous healthcare, home care, staffing, recruiting, or scheduling experience preferred.
