Recruiting Coordinator / Onboarding Specialist

The Recruiting Coordinator / Onboarding Specialist provides administrative and operational support from offer acceptance through new-hire orientation. The position coordinates preboarding and onboarding activities, maintains accurate candidate and new-hire records, supports job-posting and recruitment-event logistics, and helps ensure required documentation is completed on time. This role works closely with recruiters, hiring managers, People and Culture, and internal partners to provide a consistent candidate and new-hire experience while supporting compliance with organizational policies and applicable requirements.
What We're Looking For
Education
An Associate's degree in Human Resources, Business Administration, or a related field is preferred. Relevant experience in recruiting coordination, onboarding, or HR administration may be considered in place of a formal degree.
Experience
- At least 1 year of experience in recruiting coordination, HR administration, or a closely related role is required.
- Hands-on experience with an Applicant Tracking System (ATS) and/or HRIS platform is required. Experience with Dayforce is a plus.

What You'll Do
- Support recruiters post-offer in the recruitment process from offer through orientation
- Update information on the New Hire Onboarding List (NHOL)
- Send out preboarding information to candidates
- Manage applicant tracking system (ATS) data, ensuring accuracy and completeness of candidate records
- Communicate with candidates regarding preboarding requirements and documents needed for further process in the preboarding phase
Onboarding & New Hire Support
- Coordinate all pre-employment activities, including background checks, TB tests, fingerprinting, and required documentation
- Facilitate onboarding processes, ensuring timely completion of new hire paperwork and compliance requirements
- Serve as a primary point of contact for new hires, providing guidance on onboarding steps and answering questions
- Maintain onboarding records and track new hire progress in relevant systems
- Enter new hires into the Applicant Tracking System (Dayforce), ensuring all required hiring information and documentation is accurately completed.
Administrative Support
- Support process improvements and initiatives to enhance recruitment and onboarding efficiency
- Support recruitment events, job fairs, and other talent attraction activities as needed
Other Non-Essential Duties and Responsibilities
Working Conditions
This position is primarily performed in an office or approved hybrid environment. The role involves frequent interaction with candidates, new hires, hiring managers, People & Culture staff, and internal partners. Occasional travel to organizational sites, job fairs, fingerprinting or screening locations, or other recruitment events may be required, including limited work outside standard business hours.
