Bilingual Recruiting Assistant

This position requires fluency in both English and Spanish, including the ability to read, write, speak, and comprehend both languages effectively.

The Recruiting Assistant provides administrative and operational support to the Talent Acquisition team by assisting with candidate sourcing, onboarding coordination, applicant tracking, and recruitment marketing activities. This position serves as a key point of contact for candidates throughout the hiring process and helps ensure an exceptional candidate experience from initial application through first day of employment.

The ideal candidate is highly organized, detail-oriented, customer-focused, and capable of managing multiple priorities in a fast-paced environment. This role works closely with recruiters, hiring managers, and HR team members to support hiring initiatives across a variety of skilled trades, technical, administrative, and professional positions.

Essential Duties and Responsibilities

Recruiting Support

  • Support recruiters throughout the full recruitment lifecycle.
  • Source candidates through online databases, networking platforms, trade schools, employee referrals, and community partnerships.
  • Conduct screening and onboarding of employee referrals.
  • Review applications and resumes for minimum qualifications.
  • Conduct candidate outreach and assist with initial candidate screening.
  • Maintain accurate candidate records within the Applicant Tracking System (ATS).
  • Assist with recruitment campaigns, job fairs, career events, and workforce development initiatives.
  • Prepare offer letters and hiring documentation as directed by recruiters.
  • Generate recruiting reports and track hiring metrics.
  • Support recruiters in filling a variety of technical, skilled trades, and professional positions.

Candidate Experience & Onboarding Coordination

  • Serve as a primary point of contact for candidates during the hiring process.
  • Coordinate pre-employment requirements including background checks, drug testing, and employment verification activities.
  • Assist candidates with completing onboarding paperwork and required documentation.
  • Follow up with candidates to ensure onboarding tasks are completed on time.
  • Communicate onboarding progress and hiring status updates to recruiting and HR teams.
  • Ensure candidates receive all necessary information prior to their start date.
  • Help create a positive and professional experience for every candidate throughout the hiring process.

Administrative Support

  • Maintain recruitment files and candidate documentation.
  • Update, spreadsheets, correspondence, and presentations as needed.
  • Monitor recruiting inboxes and respond to applicant inquiries.
  • Assist with data entry and record maintenance.
  • Ensure compliance with company hiring procedures and documentation requirements.
  • Support special recruiting projects and process improvement initiatives.
  • Assist with employment and personnel-related administrative tasks associated with hiring activities.

Qualifications

Required

  • Bilingual proficiency in English and Spanish is required, with strong reading, writing, speaking, and comprehension skills in both languages.
  • One (1) year of experience in recruiting, human resources, customer service, or administrative support preferred.
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication abilities.
  • Strong attention to detail and accuracy.
  • Ability to manage multiple priorities and meet deadlines.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and Teams.
  • Ability to maintain confidentiality and handle sensitive information professionally.
  • Strong customer service and relationship-building skills.

Preferred

  • Experience supporting recruiting or talent acquisition activities.
  • Experience using applicant tracking systems (ATS) or HRIS platforms.
  • Experience recruiting or supporting hiring in construction, skilled trades, manufacturing, or industrial environments.
  • Bilingual English/Spanish preferred.
  • Familiarity with onboarding and pre-employment screening processes.
  • Experience utilizing AI (Microsoft CoPilot, Chat GPT).
