The Whatcom Family YMCA is looking for a BASE & Camp Staffing Specialist to help recruit, hire, schedule, and support the incredible staff who make our Before & After School Age Enrichment (BASE) and Camp programs possible.
Our BASE and Camp programs provide safe, engaging, and enriching experiences for children throughout Whatcom County. Behind every successful program is a dedicated team, and you'll play a key role in making sure those teams have the support they need to succeed!
What You'll Do
As our BASE & Camp Staffing Specialist, you'll work closely with the Director of After School & Camp Programs, program leadership, and Human Resources to ensure our programs are staffed with qualified, caring, and enthusiastic employees.
Your day-to-day responsibilities will include
- Recruit & Connect: Review applications, conduct initial candidate screenings, coordinate interviews, and help welcome new team members to the Y.
- Keep Our Programs Staffed: Coordinate daily schedules across multiple program locations, manage substitute coverage, and adjust staffing to meet program needs and required staff-to-child ratios.
- Support Our Team: Serve as a resource for employees by managing time-off requests, helping resolve scheduling challenges, and providing guidance on program procedures.
- Keep Things on Track: Oversee timecard accuracy, assist with payroll preparation, and maintain organized staffing and employee records.
- Stay Compliance-Ready: Track required employee certifications and training to ensure compliance with YMCA and Washington State DCYF requirements.
- Welcome New Employees: Help facilitate onboarding and orientation so new team members feel prepared, supported, and excited to get started.
- Collaborate & Problem-Solve: Partner with program leaders to anticipate staffing needs, identify solutions, and continuously improve processes.
- Jump In When Needed: Occasionally provide direct support in our child care programs to help ensure a safe, positive experience for children.
- Represent the Y: Participate in recruitment events, family activities, and our annual fundraising campaign.

QUALIFICATIONS
- Experience with screening and placement of staff as well as demonstrated knowledge of establishing staffing schedules and patterns.
- Minimum two years related experience in managing staff scheduling, preferred.
- Ability to perform under deadlines, multi-task, and effectively communicate within a team atmosphere.
- Have a working knowledge of child development, behavior management, positive conflict resolution and social emotional learning.
- Basic computer knowledge including but not limited to Microsoft programs, Google, etc.
- Minimum age of 18 years or older.
- High School Diploma, required
- Ability to model YMCA core values of respect, responsibility, caring and honesty.
- Two years experience supervising others, preferred.
- Prior experience working in a licensed child care environment, preferred
- Minimum of 12 quarter credits in any 100 level course or above, preferred.
- Within 30 days of hire include completion of: Child Abuse Prevention for Supervisory Staff; Working with Program Volunteers; CPR; First Aid; AED; Bloodborne Pathogens; TB test; MERIT background check, provide MMR vaccine records, Food Handler Permit.
- Ability to relate effectively to diverse groups of people from all social and economic segments of the community.
- 30 Hour STARS Basic Training required; within 90 days of hire.

Must be able to lift 20-50-100 pounds (i.e. food delivery packages, supply shipments, etc.).
- While performing the duties of this job, the employee is regularly required to use a computer for extended periods of time and be able to communicate using a computer and phone/smart device.
- The employee frequently is required to sit and reach, and must be able to move around the work environment.
- The employee must occasionally lift and/or move up to 10 pounds.
- Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust.
- The noise level in the work environment is usually moderate.
