Position Overview

The Associate Director, HBA Recruitment (the “incumbent”) is responsible for designing and continually assessing recruitment strategies for the HBA program (the “Program”) within the context of the overall strategy of the School. This includes attracting high-quality students and delivering an outstanding experience for students at the inquiry and application stages across two key applicant groups: AEO applicants, who are applying for AEO status as they enter first year of university, and non-AEO HBA applicants, who are applying directly to the HBA program without AEO status.

  • To lead the marketing messaging of the Program and design a recruitment strategy around those messages.
  • To maintain and increase the size, diversity, and quality of the AEO and HBA applicant pool. The AEO and HBA admissions processes are unique in the post-secondary market and are an integrated part of the key differentiators of the Program.
  • To lead annual and multi-year recruitment and market planning to support institutional decision-making.
  • To provide strategic recommendations to senior leadership based on demographic trends, market shifts, and competitive analysis.

As the Associate Director, HBA Recruitment, you are leading the team of HBA recruiters that are responsible for developing and managing relationships with applicants at all stages of the application process up until application is submitted.

As part of the recruitment process, they represent Ivey at university fairs, delivering high-impact presentations and providing strategic guidance to candidates when required during the application process. They are seen as an expert in recruitment and marketing strategies, and planning and operations, always working hard towards an overall goal of meeting application numbers and diversity and client satisfaction targets. The individual also has a knack for building and maintaining effective relationships with many different stakeholders. They provide strategic leadership to the recruitment team responsible for national and international outreach, relationship management, application assessment and applicant engagement across the full admissions lifecycle.

  • Recruitment
  • Design and execute recruitment strategies and activities (including budget) that will attract high quality candidates, including identifying, assessing, and prioritizing opportunities and initiatives to attract and retain candidates. A key objective will be to maintain the size of the Program in accordance with the school’s strategy, seek out and attract diverse and high-quality students from targeted groups and geographic areas who will contribute to the world-class opportunity at Ivey and maintain a strong pool of applicants from which to select. Achieve quality, quantity, and demographic targets for the recruitment of students.
  • Design and execute recruitment strategies for the AEO and non-AEO HBA application cycles. This includes developing strong communication plans to maximize inquiry management and service response and maintaining consistency of messaging across the AEO and HBA admissions team; particularly with respect to the recruiting, application, and assessment processes.
  • Plan and develop new external marketing activities and initiatives in consultation with Marketing & Communications, including website, social media, email, and brochure planning.
  • Remain on top of marketing and recruitment strategies at other leading business schools, continually benchmarking Ivey activities, identifying areas for improvement/opportunity, and making informed recommendations.
  • Host, lead and oversee events and presentations to promote Ivey and attract prospective students to apply.
  • Conduct informational interviews with prospective applicants, parents and/or guidance counsellors, identifying opportunities and providing insights into recruitment strategies within the various locations.
  • Oversee the design and execution of high-impact events and presentations that support recruitment strategy.
  • Working closely with the Executive Director, Recruitment and Admissions, diplomatically resolve issues as they arise. Sound judgment must be exercised in areas where policy and precedent may not be firmly established, or where ambiguities may derive from different interpretations of policies and procedures by applicants, family members of applicants, alumni, current students, and faculty, to ensure the transparency and integrity of the admissions process.
  • Maintain and strengthen the linkages with counterparts in the Western Undergraduate Recruitment department. Continually assess recruitment policies and strategies in partnership with the Western office of the registrar team to ensure consistency.
  • Establish, monitor, and report on performance indicators pertinent to the recruiting activities. Ensure baseline indicators are identified to allow for regular benchmarking activities.
  • Work closely with departments across Ivey, including Program Services, Advancement, Career Management, Masters Recruitment and Admissions, IT, and faculty to provide appropriate contacts and information to inquires and applicants
  • Build partnerships with external groups and organizations and maintain/create key sponsorship relationships to increase recruitment efforts.
  • Work with the Director, Admissions and Financial Aid on the HBA general inbox to ensure communication standards, response quality, and workflow processes support a consistent and high-level applicant experience.
  • Oversee high-impact pipeline initiatives such as the Summer Leadership Program and national high school case competitions, ensuring these experiences strengthen early engagement and long-term interest in the HBA Program.
  • Oversee the CRM strategy for AEO and non-AEO HBA applicants including workflow development, data integrity, segmentation, and communication.
  • Develop dashboards, KPIs, predictive models, and analytics that inform recruitment, yieldand market planning.
  • Lead ongoing improvements to digital recruitment assets, including automated communications, virtual engagement platforms, and assessment tools.
  • Partner with Advancement to support donor-funded outreach programs and steward alumni involved in recruitment.
  • Design and lead national and international market strategies, including identifying priority regions, building institutional partnerships, and establishing long-term pipeline growth.
  • Leadership and Mentoring of Direct Reports
  • Provide performance management with knowledge and/or consultation with HR.
  • Develop new processes and initiatives where needed as new efficiencies are realized and new ideas come to light.
  • Create and oversee a development plan for the team members to ensure personal growth in their roles.
  • Ensure that the team are working at optimal utilization, understand workload and distribute accordingly, ensures efficiency with operations process to meet needs of internal and external clients.
  • Ensure consistency and oversight in workload, planning and communication within the team.
  • Serve as a cross-functional leader in collaboration with Program Services, Marketing, Advancement, IT, Western Undergraduate Recruitment , and Western International to ensure alignment and operational efficiency.
  • Provide coaching and leadership development for team members.
  • Build a high-performance culture focused on accountability, innovation, service excellence, and continuous improvement.
  • Administration
  • Perform data analysis to support recruiting strategy. Propose enhancements to current recruiting processes.
  • Ensure team operations run efficiently and that service standards remain high throughout peak cycles.
  • Lead or support special projects that advance recruitment strategy, operational efficiency, and institutional priorities.
  • Other Activities
  • Identify and undertake other duties or special projects as required in support of the department. Be an effective member of the operational team, including providing support to senior staff such as confidential correspondence preparation, scheduling, and document preparation.
  • Recommend new procedures and changes to existing procedures to positively impact department or unit’s operation to avoid future difficulties.
  • Understand and adhere to FIPPA legislation and Western confidentiality guidelines.

Qualifications

Education & Experience

  • University degree with five to six years related experience. Recruitment or business development experience in a knowledge industry is required.
  • Knowledge of international business education with strong relationship management skills and student advising experience is critical.
  • Experience in a multicultural environment is considered an asset.
  • Demonstrated experience collaborating with multiple stakeholders, both internal and external to the organization.
  • Team leadership experience is required.
  • Database management experience is essential, Salesforce database preferred.

  • Be knowledgeable of Senate, UWO and SGPS regulations and guidelines as they pertain to degree programs.
  • Possesses high degree of attention to detail and accuracy.
  • Experience and skill using the Microsoft Office suite, including web-based applications (Word, Excel, PowerPoint, Outlook, etc.). A methodical approach to data planning and report development is essential.
  • Extensive travel is critical to the success of student recruitment The candidate must be prepared to work additional hours during peak periods and with restrictions to vacations at certain times of the year.
