JOB DESCRIPTION

Since 1966, the Capitol Region Education Council (CREC) has been dedicated to providing innovative, high-quality, and cost-effective educational programs and services to meet the diverse needs of children and adults in Greater Hartford. Serving 33 member districts and reaching additional communities statewide, CREC supports approximately 12,000 students annually through more than 120 educational programs. Our offerings include professional learning and coaching for educators, specialized programming for students with diverse needs, and PreK-12 education across 16 interdistrict magnet schools. Additionally, CREC provides school construction, operations, and cooperative business services, while also delivering programs that help adults build real, job-ready skills.

POSITION SUMMARY

The Administrative Assistant of Talent Acquisition & Compliance at River Street Schools and Programs provides administrative support for recruitment, onboarding, employee records management, and workforce compliance activities. This position serves as a key liaison between Program Leadership, Human Resources, and operational departments to ensure efficient hiring processes, successful onboarding experiences, accurate employee records, and compliance with training, certification, and organizational requirements. The role requires exceptional organizational skills, attention to detail, confidentiality, and the ability to manage multiple priorities in a fast-paced educational environment.

ESSENTIAL DUTIES and RESPONSIBILITIES

Duties/Responsibilities

  • Assist in preparing, processing, and tracking hiring requisitions and onboarding documentation to support efficient recruitment and hiring processes.

Support recruitment efforts using external platforms such as Indeed and professional trade organizations, and attend job fairs and community outreach events.

  • Coordinate and schedule interviews for all vacant positions, including managing calendars, communicating with candidates and hiring teams, preparing interview materials, and ensuring all interview logistics are completed accurately and on time.
  • Support the delivery of site-based new employee orientation by coordinating schedules, preparing materials, and assisting new staff with onboarding requirements and program-specific information.
  • Generate reports and provide administrative support related to staffing, hiring, onboarding, training compliance, and workforce data as requested by Program Leadership and Human Resources.
  • Facilitate onboarding activities for newly hired employees, including coordinating workspace setup with Facilities, arranging staff lockers, collaborating with Technology to assign landline or CREC-issued cell phones, and distributing equipment such as two-way radios and identification badges.
  • Create, maintain, and update employee accounts and access permissions within organizational systems, including Keystone, PowerSchool, and other assigned platforms.
  • Develop, maintain, and regularly update staff rosters, classroom assignments, emergency contact information, organizational directories, and other workforce-related records.
  • Process and maintain Personnel Action (PA) documentation related to employee status changes, including personal information updates, position and salary changes, transfers, and separations, ensuring accuracy and timely completion.
  • Partner with Program Leadership and Human Resources to monitor and support employee compliance with mandatory organizational training requirements, certification requirements, and program-specific trainings, including Safety-Care professional certifications, licenses, other assigned professional development activities, etc.
  • Track, monitor, and maintain records of employee certifications, licenses, permits, and other required credentials, and communicate renewal requirements to ensure ongoing compliance with organizational and regulatory standards.
  • Maintain accurate, complete, and confidential employee records and documentation within OfficeScope, ensuring compliance with recordkeeping requirements and organizational policies.
  • Handle sensitive and confidential employee information with discretion and in accordance with organizational policies, employment regulations, and privacy requirements.
  • Foster positive working relationships with candidates, employees, supervisors, Human Resources, and other internal departments to support effective communication and efficient hiring and onboarding processes.
  • Comply with all company policies and procedures.

QUALIFICATIONS

  • Associate's Degree (AA) or equivalent from two-year college or technical school, or two years related experience and/or training, or equivalent combination of education and experience.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace (Docs, Sheets, Slides, Drive), with the ability to create, edit, and manage documents, spreadsheets, and presentations efficiently.
  • Bilingual preferred.

Limited travel to and from meetings may be required (occasionally, less than 10%)
