JOB SUMMARY

We are seeking an organized, detail-oriented, and proactive Recruiting & HR Administrative Assistant to join our team on-site in Franklin, TN. In this role, you will serve as the operational backbone for both recruitment and day-to-day HR administrative functions. Working closely with our Recruiting and HR leadership, you will manage candidate logistics, maintain core HR records, and ensure employee and applicant processes run seamlessly.

JOB DUTIES AND RESPONSIBILITIES

Recruiting Logistics & Candidate Experience

Serve as the primary point of contact for coordinating and scheduling interview loops between candidates, internal hiring managers, and advisor teams.
Deliver prompt and professional email communications to keep candidates informed and engaged throughout every stage of the hiring process.

Maintain accurate and timely candidate activity, notes, and follow-up tasks within the CRM.
Consistently represent SageSpring with professionalism, confidence, and enthusiasm.

HR Operations & HR Information System Support

Maintain accurate employee and applicant data within Paycor, executing routine updates and ensuring high standards of data integrity.
Assist the Recruiting & Onboarding Coordinator and HR Manager with administrative tasks for new hire preparation, document collection, and exit logistics.
Help maintain and organize centralized HR documentation repositories, standard operating procedures (SOPs), and employee record files.
Assist with routine HR compliance tracking, benefits administrative support, and day-to-day operational tasks to support the broader HR Manager.
Provide general administrative and organizational support to the Human Resources team.

REQUIRED QUALIFICATIONS

Bachelor's degree required.
1–2 years of administrative experience in a professional office environment preferred.
Proficiency with Microsoft Office suite and database management; prior experience with Paycor or ATS platforms is a strong plus.
Excellent written email communication skills with a customer-service orientation and a servant-leader mindset.
Exceptional organizational skills, high attention to detail, and absolute discretion when handling sensitive employee and candidate data.
Strong communication and relationship-building skills.
Comfortable working in a fast-paced, performance-oriented environment.
Strong attention to detail and follow-through.
Ability to work 100% in-office in Franklin, TN.

Advanced computer skills and ability to effectively operate computer equipment, software systems and databases
Work schedule may vary and is determined by project schedules
Ability to efficiently operate all job-related office equipment
Ability to communicate via telephone, computer and work in virtual teams
Must be able to lift up to 15 pounds at a time
Ability to travel using personal vehicle to other office locations as needed
