Position Summary

Physician Care Centers (PCC) is seeking a highly organized, proactive, and people-focused Recruitment Coordinator to support our growing recruitment team.

This position plays an important role in keeping the hiring process moving efficiently across all levels of the organization—from frontline and clinical support positions to Nurse Practitioners and Physicians.

The Recruitment Coordinator will work closely with recruiters, candidates, hiring managers, clinical leaders, and executive leadership to coordinate interviews, manage calendars, maintain candidate information, support onboarding activities, and provide timely communication throughout the recruitment and hiring process.

The ideal candidate enjoys staying organized, solving scheduling challenges, communicating with people, and keeping multiple moving pieces on track. Extensive healthcare recruiting experience is not required, but basic healthcare knowledge and previous recruiting, HR, scheduling, onboarding, or administrative experience are a plus.

Key Responsibilities

Coordinate and schedule candidate interviews across multiple service lines and levels of the organization, including frontline staff, clinical support positions, management, Nurse Practitioners, and Physicians.
Manage complex calendars and coordinate availability between candidates, recruiters, hiring managers, physicians, operational leaders, and executive leadership.
Schedule phone screens, virtual interviews, in-person interviews, panel interviews, and candidate site visits.
Prepare and distribute interview confirmations, calendar invitations, schedules, and candidate itineraries.
Serve as a professional and responsive point of contact for candidates throughout the interview and hiring process.
Communicate scheduling changes, interview details, and next steps clearly and promptly to candidates and internal stakeholders.
Partner closely with recruiters to ensure candidates continue moving through the recruitment process in a timely manner.
Maintain accurate candidate information, interview activity, status updates, and documentation within the Applicant Tracking System (ATS) and recruitment trackers.
Assist with collecting interview feedback and ensuring appropriate follow-up is completed after interviews.
Help coordinate candidate site visits, including interview schedules, clinic tours, meetings with leadership, and other logistics as needed.
Assist with onboarding activities as needed, including communicating with new hires, coordinating pre-employment requirements, collecting required documentation, tracking onboarding progress, and helping ensure a smooth transition from candidate to new employee.
Partner with Recruitment, HR, Credentialing, Operations, and other departments as needed to help ensure new-hire requirements are completed in a timely manner.
Support job postings, candidate tracking, recruitment reports, and other administrative recruitment activities.
Assist with recruitment events, career fairs, residency outreach, and other recruiting initiatives as needed.
Maintain confidentiality when handling candidate, compensation, employment, and organizational information.
Identify scheduling conflicts, onboarding delays, or potential recruitment bottlenecks and proactively work with the appropriate team members to resolve them.
Help create a consistent, organized, and positive candidate experience from initial contact through onboarding.

Qualifications

Required

High school diploma or equivalent.
Strong organizational and time-management skills.
Excellent written and verbal communication skills.
Strong attention to detail and commitment to accuracy.
Ability to manage multiple priorities, candidates, calendars, and deadlines simultaneously.
Ability to communicate professionally with candidates and employees at all levels of the organization.
Strong problem-solving skills with the ability to adjust quickly when schedules or priorities change.
Comfortable working in a fast-paced environment where priorities may shift throughout the day.
Ability to work independently while also collaborating closely with Recruitment, HR, and Operations.
Proficiency with Microsoft Outlook, Word, Excel, Teams, and other standard office technology.
Ability to handle confidential and sensitive information appropriately.

Preferred

Previous experience in recruiting, human resources, healthcare, scheduling, onboarding, administrative support, or a similar coordination role.
Basic knowledge of healthcare terminology and clinical positions.
Experience working with an Applicant Tracking System (ATS) or HRIS.
Experience coordinating interviews or meetings involving multiple calendars and stakeholders.
Experience supporting healthcare recruitment, including clinical staff, Advanced Practice Providers, or Physicians, is a plus but not required.
