POSITION PURPOSE

The Recruiting Specialist supports Foundation Communities’ staffing needs by managing assigned recruitment activities from requisition intake through candidate selection and offer. This position partners closely with hiring managers to attract, identify, and engage qualified candidates while providing a positive and responsive candidate experience.

The role also provides administrative support throughout the recruiting and onboarding process, including maintaining accurate recruiting records, coordinating pre-employment activities, supporting new-hire transitions, and ensuring timely communication and follow-through.

Success in this role requires strong organization, attention to detail, responsiveness, sound judgment, and the ability to manage multiple priorities in a fast-paced environment.

PRIMARY DUTIES AND RESPONSIBILITIES

Recruiting and Hiring

Manage assigned requisitions from intake through selection and offer, including job postings, sourcing, application review, phone screening, interview coordination, candidate communication, and hiring manager follow-up.
Partner with hiring managers to understand staffing needs, position requirements, recruiting priorities, and candidate qualifications.
Source and develop candidate pipelines using job boards, professional networks, referrals, community partnerships, and other recruiting strategies.
Present qualified candidates to hiring managers and assist with interview, selection, and offer processes.
Support internal candidates, including coordination of internal references and required hiring steps.
Maintain consistent, professional, and timely communication with candidates and hiring managers throughout the recruiting process.

Recruiting Administration and Onboarding Support

Maintain accurate and timely recruiting information in ADP Workforce Now, applicant tracking systems, hiring trackers, and electronic files.
Open, update, monitor, and close requisitions and ensure candidates are moved appropriately through the recruiting process.
Coordinate pre-employment requirements, including background checks, references, screenings, documentation, and other requirements as applicable.
Monitor outstanding recruiting and hiring items and proactively follow up with candidates and hiring managers to keep processes moving.
Prepare and maintain recruiting reports, hiring documentation, templates, interview materials, and other HR records.
Support the transition from candidate to new hire by coordinating required information, documentation, onboarding communications, and administrative follow-up.
Assist with onboarding activities and provide backup HR administrative support during periods of high volume or as needed.

Partnership, Compliance, and Process Improvement

Serve as a responsive point of contact for hiring managers and provide guidance regarding recruiting processes, interview practices, internal hiring procedures, and documentation requirements.
Promote consistent, equitable, and professional recruiting practices across departments.
Maintain confidentiality and ensure recruiting and hiring records are complete, accurate, and handled in accordance with applicable policies and requirements.
Identify process gaps, delays, or compliance concerns and escalate them appropriately.
Support improvements to recruiting systems, procedures, workflows, candidate experience, and hiring efficiency.
Participate in recruiting events, job fairs, special HR projects, and other department initiatives as needed.
Perform other duties as assigned.

Excellent attention to detail, follow-through, and ability to manage multiple requisitions and competing priorities.
Strong written and verbal communication skills with a customer-service-focused approach.
Ability to build effective working relationships with candidates, hiring managers, employees, and leadership.
Ability to work independently, exercise sound judgment, maintain confidentiality, and escalate concerns appropriately.
Proficiency with Microsoft Office and experience using applicant tracking systems or HRIS platforms.
Ability to learn and effectively use ADP Workforce Now and other HR technology.
Ability to adapt quickly and work effectively in a fast-paced, team-oriented environment.

MINIMUM QUALIFICATIONS

High school diploma or equivalent required; associate’s or bachelor’s degree in Human Resources, Business Administration, Communications, or a related field preferred.
Two or more years of recruiting, talent acquisition, staffing, Human Resources, or related experience preferred.
Experience managing multiple open positions and working with applicant tracking or HR systems preferred.
ADP Workforce Now experience is a plus.
Equivalent combinations of education and relevant experience may be considered.

PREFERRED EXPERIENCE

Experience recruiting across multiple departments, locations, or job classifications.
Experience in nonprofit, affordable housing, property management, social services, or another multi-site environment.
Experience supporting high-volume or hard-to-fill recruiting, onboarding, reporting, or HR administration.

WORKING CONDITIONS AND PHYSICAL REQUIREMENTS

Work is primarily performed in a professional office environment with regular use of a computer, telephone, and other standard office equipment. Occasional travel to Foundation Communities properties, recruiting events, or other organizational locations may be required. The position requires the ability to manage multiple deadlines and periods of increased recruiting volume. This position is 100% in office.
