Staffing Operations Specialist supports the recruiting team and the candidates and consultants we serve. You coordinate the operational candidate journey, own onboarding from accepted offer through start, and maintain dependable consultant support during assignments. This role blends detailed execution with thoughtful, responsive communication.

Key Responsibilities

Coordinate candidate activity throughout the recruiting process, including scheduling, follow-up, status updates, documentation, and timely handoffs in partnership with recruiters.
Own onboarding logistics for new placements: collect and track required documents, coordinate screening and client-specific steps, confirm start details, and flag gaps before they affect a start date.
Serve as an accessible point of contact for consultants between recruiter check-ins, asking about their experience and wellbeing, responding to routine questions, recognizing concerns, and escalating sensitive or substantive issues promptly.
Track assignment milestones, extensions, end dates, and possible redeployment; help ensure consultants experience a well-managed transition at each stage.
Maintain accurate candidate, placement, and consultant records in Tracker RMS; coach colleagues on agreed workflows and identify ways to improve data quality, reporting, reminders, and automation.
Coordinate accurate placement and assignment information with recruiters, leadership, payroll, billing, and other partners; document repeatable staffing processes and improve handoffs.

Qualifications

Experience in staffing or recruiting operations, candidate coordination, contractor care, onboarding, or a related role.
Practical proficiency with Tracker RMS, including candidate and placement records, workflows, reporting, and data quality.
Strong organization and follow-through across simultaneous placements, deadlines, and stakeholders.
Clear, empathetic communication and sound judgment about when a consultant concern needs recruiter or leadership attention.
Comfort handling confidential candidate and employment information carefully and accurately.
Ability to improve processes while remaining responsive to the day-to-day needs of recruiters and consultants.
