We are seeking a Staffing Specialist to own the full recruitment cycle for a high-volume staffing services team — from sourcing and interviewing candidates to filling client job orders and nurturing long-term client relationships. This is a results-driven role where speed of response, quality of match, and strength of client rapport directly determine success.

Job Responsibilities

  • Record new job orders, enter them into the system and tracking spreadsheet, and communicate to the team within one hour of receipt.
  • Conduct targeted online candidate searches across job boards and resume databases on a weekly basis.
  • Initiate candidate contact through compelling outreach emails, log candidates in the tracking spreadsheet, and follow up with second-touch messaging.
  • Conduct applicant interviews in scheduled blocks at least twice weekly, based on pipeline volume.
  • Interview qualified candidates within one week of their initial application date.
  • Fulfill job orders by contacting applicants, emailing bios and resumes to clients, and scheduling interviews.
  • Respond to standard job orders within one hour of placement and provide fill status updates a minimum of every other day.
  • Prioritize and expedite urgent job orders to fill as quickly as possible.
  • Provide post-offer onboarding support, including hiring documents, safety and harassment training, drug testing, and customer orientation.
  • Provide phone and applicant check-in support as needed.
  • Establish and nurture strong client relationships, staying current on evolving hiring needs.
  • Participate in candidate and client outreach activities such as lunch-and-learn sessions, employment forums, and client worksite presentations.
  • Represent the company at networking events and professional business functions.
  • Conduct new assignment follow-ups with applicants and clients on day one, end of first week, and monthly thereafter.
  • Perform follow-up calls to employees on all daily call-offs within established time windows.
  • Initiate temporary employee disciplinary activities, including verbal and written warnings.
  • Gather and record unemployment-related documentation and support the adjudication of claims.
  • Share coverage of staffing coordination duties with the wider team as needed.
  • Complete special projects as assigned by the Branch Manager.
  • Participate in candidate recruitment efforts across job fairs, internet channels, and other media.

Qualifications

  • At least 5 years of full-cycle recruitment or agency staffing experience.
  • Prior experience supporting US-based clients, applicants, or operations.
  • Proven track record of sourcing candidates through job boards, resume databases, and proactive outreach.
  • Strong working knowledge of applicant tracking systems and recruitment workflows.
  • Excellent verbal and written communication skills, with the capacity to articulate complex ideas clearly.
  • Demonstrated ability to build and maintain client relationships.
  • Strong interpersonal skills and the ability to work well within a team.
  • Ability to thrive in a dynamic, fast-paced environment and adapt to shifting priorities.
  • Resilience and persistence, including the ability to accept rejection and keep momentum.
  • Track record of meeting or exceeding performance goals.
  • Proven ability to handle confidential and sensitive information with discretion.
  • Proficiency in Microsoft 365 tools (Excel, Word, Outlook, Teams).
  • Bachelor's degree or equivalent work experience preferred.
  • Experience with AviontéBOLD or similar staffing platforms preferred.
  • Familiarity with unemployment claims processes preferred.
  • Availability for occasional after-hours responsibilities preferred.
