Description

The Talent Acquisition Coordinator is responsible for managing the onboarding process for newly hired employees from offer acceptance through clearance to start. This role ensures all required documentation, compliance requirements, background screenings, and credential verifications are completed accurately and timely. The Onboarding Coordinator serves as the primary point of contact for new hires and works closely with recruiters, hiring managers, and compliance teams to ensure a smooth and efficient onboarding experience.

Key Responsibilities

Onboarding & New Hire Processing

Coordinate and manage the onboarding process for all new hires.
Send onboarding packets and required employment documentation.
Track completion of onboarding tasks and follow up with candidates regarding outstanding items.
Ensure all onboarding requirements are completed prior to employee start dates.
Maintain accurate onboarding records within HRIS and applicant tracking systems.

Compliance & Credential Verification

Review and verify required employment documents, licenses, certifications, and identification.
Coordinate background checks, reference checks, and drug screenings as required.
Monitor expiration dates for licenses, CPR certifications, TB screenings, and other compliance requirements.
Ensure all onboarding activities comply with company policies, state regulations, and accreditation standards.

Candidate Communication

Serve as the primary point of contact for candidates throughout the onboarding process.
Provide timely updates regarding onboarding status and outstanding requirements.
Answer questions related to employment paperwork, orientation, and compliance requirements.
Maintain a positive candidate experience through clear and professional communication.

Orientation & Start Readiness

Confirm employees are fully cleared before scheduling orientation or training.
Coordinate orientation schedules and communicate attendance requirements.
Notify hiring managers when candidates have been cleared to start.
Maintain onboarding trackers and provide status updates to leadership as needed.

Administrative Support

Maintain accurate electronic employee files.
Generate onboarding reports and compliance tracking documents.
Assist with audits and record requests as needed.
Support process improvements to enhance onboarding efficiency and candidate experience.

Requirements

Experience

Minimum of 1–2 years of experience in onboarding, recruiting, human resources, healthcare staffing, or administrative support.
Experience in home health, healthcare, or private duty services preferred.
Strong organizational and time-management skills.
Excellent verbal and written communication skills.
Ability to manage multiple priorities in a fast-paced environment.
Proficiency with Microsoft Office Suite, HRIS systems, and applicant tracking systems.
Strong attention to detail and commitment to compliance.

Skills

Ability to establish and maintain effective working relationships with all segments of the staff, and the Agency leadership team.
Shall be able to read, write and comprehend English.
Knowledge of office machines preferred.
Knowledge of Word, Excel, PowerPoint, Outlook.

Education

High School Graduate
College Associates degree or higher

Licensure/Certification

Current driver’s license in good standing. It is the responsibility of the employee to renew their driver’s license before it expires in order to continue employment.

Physical Requirements

Prolonged sitting and standing required.
Occasional need to lift, pull, carry and push items weighing up to twenty pounds.
Frequent need to stoop, kneel and reach while accessing files.
Ability to handle stressful situations in a calm and courteous manner at all times.
Requires working under some stressful conditions to meet deadlines and Agency needs.

Environmental/Working Conditions

Works in a routine office environment.
Ability to work a flexible schedule and extended hours, as needed.
Ability to travel to Agency offices.
Some exposure to unpleasant weather.
