The Talent Acquisition Coordinator is a highly visible and energetic member of the People & Culture team responsible for strengthening the effectiveness, responsiveness, and external presence of VNATC's Talent Acquisition function. The Coordinator supports the candidate journey from initial outreach through successful arrival at New Hire Orientation while coordinating recruiting campaigns, interview activity, post-offer engagement, recruiting events, community outreach, external marketing activities, recruiting analytics, budget tracking, and promotional inventory.
This position serves as an operational force multiplier for the Talent Acquisition team by anticipating needs, coordinating high-volume activity, maintaining recruiting infrastructure, and creating exceptional candidate touchpoints so recruiters can devote greater time to sourcing, interviewing, relationship building, hiring-manager partnerships, and closing priority candidates.
Responsibilities
Candidate Engagement & Interview Coordination
- Conduct proactive candidate outreach by telephone, text, email, and other approved channels.
- Schedule and coordinate interviews, hiring-manager meetings, candidate calls, and recruiting activities; confirm interviews and proactively engage candidates to support attendance.
- Maintain timely communication with candidates regarding next steps and required actions.
- Support targeted outreach, candidate re-engagement, sourcing campaigns, and high-priority hiring initiatives.
- Identify candidate concerns or loss of engagement and escalate when recruiter intervention may improve conversion.
Post-Offer Engagement & Readiness
- Coordinate candidate follow-up from offer acceptance through New Hire Orientation.
- Maintain frequent, personalized communication regarding outstanding post-offer requirements, deadlines, orientation, documentation, and next steps.
- Track completion of post-offer activities and coordinate with Talent Acquisition, People Operations, candidates, and other stakeholders to resolve barriers affecting start readiness.
- Escalate incomplete, delayed, compliance-related, or responsiveness concerns and support a seamless transition to onboarding.
Recruiting Marketing & Campaign Execution
- Coordinate execution of recruiting marketing and employer-brand campaigns in partnership with Talent Acquisition, Marketing, and other stakeholders.
- Support targeted campaigns for clinical, caregiver, leadership, professional, administrative, and other priority workforce needs.
- Assist with recruiting-related social media, digital advertising, email/text campaigns, community promotion, print materials, and other approved external marketing activities.
- Coordinate campaign schedules, audience lists, collateral, messaging, distribution, outreach activity, and follow-up.
- Maintain campaign trackers and measure candidate response, leads, interviews, hires, conversion, and other results.
- Research recruiting channels, community partnerships, professional organizations, schools, and outreach opportunities and recommend new approaches based on results.
External Recruiting, Community Outreach & Event Attendance
- Regularly represent VNATC at external recruiting and community events, including career fairs, hiring events, healthcare industry events, educational programs, professional association meetings, networking opportunities, and community events.
- Proactively engage prospective candidates and community partners and communicate VNATC's employment opportunities, mission, culture, and employee value proposition.
- Develop relationships with schools, training programs, community organizations, workforce partners, and candidate referral sources.
- Capture candidate leads and ensure prompt entry, assignment, and follow-up.
- Participate in occasional early morning, evening, and weekend events based on recruiting needs and serve as a professional, enthusiastic external ambassador for VNATC.
Recruiting Event Management
- Maintain the master Talent Acquisition recruiting and outreach calendar.
- Coordinate registrations, staffing, schedules, signage, technology, collateral, promotional items, candidate materials, event supplies, pre-event promotion, and post-event follow-up.
- Prepare standardized recruiting event kits and ensure materials are ready in advance.
- Track event attendance, leads, interviews, offers, hires, cost, and conversion; conduct post-event reconciliation and provide results.
Recruiting Operations, Analytics & Trackers
- Own and maintain designated recruiting, outreach, event, campaign, and candidate-engagement trackers.
- Monitor candidate outreach, response, interview scheduling and attendance, post-offer readiness, campaign results, event leads, and conversion activity.
- Prepare recurring reports and dashboards and identify overdue actions, bottlenecks, candidate risks, and opportunities requiring attention.
- Support data integrity within Dayforce Recruiting and maintain reusable checklists, templates, candidate communications, event resources, and campaign tools.
Budget & Recruiting Inventory
- Maintain the Talent Acquisition marketing, event, advertising, outreach, and promotional budget tracker, including committed and actual expenditures.
- Coordinate event registrations, purchase requests, invoices, promotional orders, and supporting documentation.
- Maintain accurate inventory of VNATC recruiting logo/promotional items, establish reorder levels, prepare audience-appropriate materials, and proactively recommend replenishment.
- Assist with evaluating recruiting expenditures based on utilization, candidate reach, conversion, and recruiting impact.
Talent Acquisition Team Effectiveness
- Function as an operational force multiplier by anticipating recruiting needs and removing administrative and coordination barriers.
- Help recruiters remain focused on sourcing, interviewing, hiring-manager relationships, candidate relationships, and closing talent.
- Shift priorities rapidly in response to changing workforce demands and help mobilize targeted outreach and hiring campaigns.
- Identify workflow improvements that increase recruiting speed, organization, responsiveness, candidate engagement, and external visibility.
- Bring creativity, energy, resourcefulness, and continuous improvement to a nimble, dynamic, data-informed Talent Acquisition function.
Qualifications
- High school diploma or equivalent required; associate or bachelor's degree in Human Resources, Business, Marketing, Communications, Healthcare Administration, or related field preferred.
- One to three years of recruiting, HR, staffing, healthcare, marketing, outreach, event coordination, customer engagement, sales support, or comparable experience preferred.
- Healthcare recruiting and Dayforce or similar applicant tracking system experience preferred.
- Strong Microsoft Outlook, Excel, Word, PowerPoint, and Teams skills.
- Exceptional organization, communication, urgency, follow-through, attention to detail, technology agility, and ability to manage multiple priorities.
- Comfortable initiating candidate contact and representing VNATC externally at local events.
- Ability to appropriately handle confidential candidate and employment information.
- Ability to attend local recruiting/community events, including occasional early morning, evening, or weekend activities, and transport recruiting materials as needed.
