About the Role

We are seeking an organized, proactive, and detail-oriented Recruitment & Admin Assistant to join our fast-paced employment agency in Woodbridge. In this dual-focus role, you will be the main point of contact for our office while directly supporting our talent acquisition team with candidate sourcing, screening, scheduling, and administrative operations.

Key Responsibilities

Recruitment Support

  • Communicate with job seekers and clients regarding open job opportunities.
  • Screen, register, and onboard candidate profiles accurately into our system.
  • Conduct initial candidate prescreens and assist recruiters with scheduling interviews.
  • Maintain an active candidate database and pipeline for various client requests.

Administrative & Front Desk Operations

  • Greet office visitors and job seekers in a welcoming, professional manner.
  • Manage incoming phone calls, emails, and general office correspondence.
  • Prepare, organize, and maintain digital and physical candidate files, compliance records, and office documentation.
  • Provide day-to-day administrative support to recruiters, account managers, and office management.

Qualifications & Requirements

  • Experience: Background in recruitment, human resources, administrative support, or customer service preferred (employment agency experience is a strong asset).
  • Languages: Fluency in spoken Spanish or Tagalog (Filipino) is required to support candidate and client communication.
  • Technical Skills: Proficient with computers, email systems, Microsoft Office Suite, and phone systems; fast learner with recruiting software/software systems.
  • Soft Skills: Exceptional communication, strong organizational abilities, multi-tasking skills, and a professional, positive attitude.
  • Commute: Must have reliable transportation (access to a personal vehicle or living within a reliable commute distance to our Woodbridge office).
  • Legal Status: Legally eligible to work full-time in Canada.
