Recruiting Operations Specialist

Remote | Full-Time | $45,000-$50,000 annually, based on experience

About HireCare

HireCare is a recruiting partner built for healthcare organizations. We work as an extension of our clients' teams, managing the recruiting process from candidate sourcing and screening through interviews, follow-up, and hiring.

Our goal is simple: help organizations build stronger permanent workforces, reduce reliance on staffing agencies, and create a recruiting process that is consistent, measurable, and scalable.

About the Role

We are looking for a highly organized, analytical, and proactive Recruiting Operations Specialist to support the successful launch and ongoing execution of HireCare client accounts.

This role sits at the intersection of client implementations, recruiting operations, training, and data. You will help take a new client from signed agreement to a fully operational recruiting account, ensure recruiters understand the account and expectations, and turn recruiting activity into clear, meaningful reporting for both internal leadership and clients.

The ideal candidate is someone who loves creating structure, working with data, coordinating multiple moving pieces, and making sure details don't fall through the cracks. You will work closely with recruiters every day to ensure that the recruiting operations around each client account are set up and running effectively.

What You'll Do

Client Onboarding & Implementation

  • Coordinate the operational onboarding of new clients and accounts.
  • Gather and organize client requirements, including positions, locations, pay rates, shifts, candidate qualifications, and hiring processes.
  • Ensure account information is accurately entered into internal systems.
  • Identify missing information or potential issues before an account is live.
  • Create and maintain client account playbooks and documentation.

Recruiter Handoff & Training

  • Support the operational handoff of new accounts to the recruiting team.
  • Support the training of recruiters on client requirements, recruiting processes, systems, and expectations.
  • Develop and maintain account-specific training materials.
  • Identify recurring training or process gaps and help improve recruiter enablement.

Productivity & Client Reporting

  • Pull and analyze recruiter productivity data by client account.
  • Prepare internal reports for Recruitment Operations leadership.
  • Create clear, professional client-facing reports that demonstrate HireCare's recruiting activity and impact.
  • Help standardize reports across client accounts.

Recruitment Operations Support

  • Monitor new accounts during the initial launch period.
  • Help identify and resolve operational issues affecting recruiter productivity or client results.
  • Maintain SOPs, workflows, reporting templates, and account documentation.
  • Support process improvement initiatives.
  • Assist with special projects as needed.

What We're Looking For

  • At least 2 years of experience in HR operations, client implementations, recruiting coordination, or a similar role.
  • Highly organized with excellent attention to detail and follow-through.
  • Comfortable working with data and productivity metrics.
  • Strong communication and project coordination skills.
  • Able to manage multiple priorities and deadlines in a fast-paced environment.
  • Proficiency in Microsoft Office.
  • Experience with recruiting, staffing, or healthcare is a plus.
  • Experience with Monday or similar workflow/project management systems is a plus.
