This role provides critical support to the Talent Acquisition team by coordinating interviews, managing recruiting data, and ensuring a seamless candidate experience. Responsibilities include scheduling interviews, maintaining hiring records, preparing recruiting reports and metrics, and supporting pre-employment activities. The position also assists with recruiting events, vendor relationships, employee referral programs, and talent acquisition process improvements.

Your Responsibilities Will Be

Interview Coordination (45%)

  • Coordinate interview scheduling for multiple recruiters and hiring teams including arranging interview logistics, virtual meeting links, onsite interview schedules, and follow-up communications.
  • Manage candidate interview calendars and scheduling workflows.

Data Management & Report Preparation (45%)

  • Enter, maintain, and audit recruiting and hiring data as needed
  • Create recurring recruiting reports and dashboards using Excel.
  • Produce weekly, monthly, and quarterly hiring metrics.
  • Initiate and track background screenings and other pre-employment activities.
  • Prepare new hire and recruiting activity reports for leadership.
  • Identify data discrepancies and recommend corrective actions.

Program & Project Support (10%)

  • Support vendor and third-party recruiting relationships.
  • Coordinate logistics for job fairs, recruiting events, and hiring campaigns.
  • Assist with employee referral initiatives.
  • Participate in process improvement and recruiting operations projects.
  • Provide administrative support for talent acquisition

Required Qualifications

  • 2-4 years of related experience.
  • Intermediate Excel skills (spreadsheet creation, formatting, pivot tables, understanding what data inputs to pull)
  • Strong attention to detail and data accuracy.
  • Strong problem-solving skills.
  • Ability to manage confidential information.
  • Ability to prioritize competing demands and meet deadlines.

Travel Requirements: 10% as needed for training.

The position is primarily performed in an office or professional workplace environment.

Sedentary Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently to lift, carry, push, pull, or otherwise move objects. Sedentary work primarily involves sitting, although occasional walking and standing may be required.

This position will be located in the Addison, TX office. This is not a fully remote role. The Recruiting Operations Associate serves as operational support for the recruiting function by managing interview logistics, reporting, supporting recruiting workflows, data management, and supporting talent acquisition programs.
