About the Role

The Recruiting Operations & Coordinator will support and coordinate Floyd's 99 Barbershop's recruiting operations, systems, processes, and external recruiting partnerships. This role is responsible for keeping the recruiting process organized, efficient, and moving forward across our shops and leadership teams.

This position will serve as a key point of contact between Recruiting, Shop Leaders, District Leaders, HR, vendors, and recruiting platforms. The ideal candidate is highly organized, process-minded, comfortable working across multiple systems, and enjoys finding ways to make recruiting workflows more efficient.

While this role will provide support with candidate screening and onboarding coordination, the primary focus will be recruiting operations, process management, systems, reporting, and vendor coordination.

Key Responsibilities

Recruiting Operations & Process Management

  • Coordinate and maintain the day-to-day recruiting workflow across Floyd's locations and hiring teams.
  • Monitor candidates throughout the recruiting process and identify opportunities where follow-up or action is needed.
  • Maintain recruiting processes, guidelines, workflows, and standard operating procedures.
  • Partner with Shop Leaders and District Leaders to ensure recruiting expectations and timelines are being followed.
  • Help identify process gaps and recommend improvements that create a better experience for candidates and hiring leaders.
  • Support the implementation of new recruiting initiatives, programs, and processes.
  • Maintain recruiting documentation, templates, training materials, and internal resources.
  • Help ensure recruiting processes remain consistent across locations while supporting the unique needs of individual shops.

ATS & Recruiting Technology

  • Serve as a day-to-day administrator and internal resource for the company's applicant tracking system (iSolved).
  • Maintain job postings, requisitions, candidate statuses, workflows, templates, and recruiting system information.
  • Troubleshoot system or process questions and coordinate with the ATS provider when additional support is needed.
  • Partner with internal teams and external technology partners on system improvements and enhancements.
  • Help evaluate and implement recruiting technology, tools, and process improvements.
  • Maintain data accuracy and consistency within recruiting systems.

Vendor & Partner Management

  • Serve as a primary point of contact for recruiting vendors, job boards, technology providers, and external recruiting partners.
  • Coordinate with vendors regarding job postings, sponsorships, billing, system functionality, reporting, and account questions.
  • Monitor recruiting vendor performance and help ensure Floyd's is receiving value from external recruiting partnerships.
  • Partner with vendors to identify opportunities to improve candidate flow and recruiting results.
  • Maintain an organized record of recruiting vendors, contacts, services, and account information.

Recruiting Reporting & Analytics

  • Prepare recurring recruiting reports for leadership.
  • Track recruiting activity, candidate movement, time in status, hiring activity, and other key recruiting metrics.
  • Monitor candidate pipelines and identify areas requiring additional attention.
  • Help provide visibility into recruiting performance across locations.
  • Pull and organize data from recruiting systems and vendor platforms to support decision-making.
  • Identify trends and make recommendations based on recruiting data.

Candidate & Hiring Team Support

  • Provide support with candidate screening and initial recruiting conversations as needed.
  • Coordinate interviews between candidates and Shop/District Leaders.
  • Help ensure candidates receive timely communication throughout the recruiting process.
  • Support hiring leaders with recruiting questions, candidate information, and process guidance.
  • Assist with candidate follow-up and pipeline management during periods of high hiring volume.

Onboarding Coordination

  • Support the transition of candidates from recruiting into the onboarding process.
  • Coordinate with HR, Payroll, Benefits, and field leadership to ensure necessary information is communicated for new hires.
  • Help monitor onboarding-related recruiting tasks and follow up on outstanding items.
  • Maintain recruiting-to-onboarding documentation and process resources.
  • Identify opportunities to improve the handoff between Recruiting and HR/Onboarding.

What We're Looking For

  • 2-5 years of experience in recruiting, recruiting coordination, recruiting operations, HR, or a related field.
  • Strong organizational and project coordination skills.
  • Experience working with an ATS or other recruiting technology.
  • Excellent communication and follow-up skills.
  • Comfortable working with vendors and external partners.
  • Ability to understand processes, identify inefficiencies, and recommend improvements.
  • Strong Excel/Google Sheets and reporting skills.
  • Ability to work independently while partnering closely with field and corporate teams.
  • A proactive mindset and willingness to take ownership of processes from start to finish.
