The Recruiting Coordinator provides high-volume administrative and process support to the Talent Acquisition team. This role owns requisition lifecycle administration, offer letter processing, interview logistics, and vendor tracking across an active pipeline. The Recruiting Coordinator also partners with the TA Manager on ongoing recruiting excellence and continuous improvement projects.
Essential Functions
- Post all new requisitions across job boards and career sites within 1 business day of req approval.
- Refresh active postings on a recurring cycle to maintain visibility and search ranking.
- Close out postings and send rejection communications to remaining candidates once a requisition is filled or cancelled.
- Maintain accurate requisition status and data hygiene in the ATS.
- Schedule hiring manager intake meetings with recruiters for all new requisitions.
- Generate interview guides for recruiters and hiring teams
- Send Culture Index assessment links to candidates at the appropriate stage of the process.
- Review incoming resumes for Warehouse, Shop, Driver, and Welder requisitions to identify candidates who meet minimum qualifications, and forward qualified resumes to hiring managers.
- Draft offer letters for recruiter and hiring manager review, using approved templates and compensation guidance.
- Track all outstanding offer letters and follow up to ensure timely signature and return.
- Update and maintain the team’s offer-tracking board (Trello) to reflect real-time offer status.
- Track all agency candidate submissions across active requisitions.
- Partner with Director, Talent Strategy on special projects supporting recruiting excellence and continuous improvement.
- Partner with Sales Compensation to send and track all commission agreements
- Verify rehire eligibility for former employees applying to open requisitions, in accordance with company rehire policy
Minimum Qualifications
- 1–2 years of experience in a recruiting coordinator, HR coordinator, or high-volume administrative support role.
- Experience with an applicant tracking system (Dayforce preferred).
- High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
Knowledge, Skills and Abilities
- Strong organizational skills and comfort managing many concurrent, deadline-driven tasks.
- Clear written communication for candidate- and hiring-manager-facing correspondence.
- Ability to exercise sound judgment reviewing resumes against baseline role qualifications.
- Comfortable working across a distributed, multi-brand organization with many stakeholders.
- Adaptability to take on new process-improvement projects as team priorities shift.

Work Environment

This position operates in both a professional office setting and a warehouse environment. The role routinely uses standard office equipment, including computers, phones, photocopiers, filing cabinets, and fax machines. Occasional travel to project sites may be required. Warehouse conditions include proximity to forklifts and other heavy machinery and the use of various tools and hardware. Employees may be subject to frequent heavy lifting and exposure to variable weather conditions, including extreme heat and cold.
