About the Role

Happy to Help Caregiving is a trusted provider of nonmedical home care dedicated to helping seniors and individuals maintain their independence at home. As we prepare to open our Uniontown office, we are seeking a motivated, organized, and community-minded PA Recruiting Coordinator to be the local face of the office while working closely with our established team in Morgantown.

Position Overview

The PA Recruiting Coordinator is a highly organized, relationship-focused professional who serves as a primary local point of contact for applicants and caregivers and as a vital bridge between the Uniontown office and our Morgantown team. This position reports to the Morgantown Assistant Director for day-to-day management and coordinates with the Pennsylvania Administrator/Executive Director on regulatory compliance and required approvals.

This role oversees daily office administration and manages the local stages of caregiver recruiting. The coordinator owns local sourcing, applicant screening, interviews, candidate follow-up, testing and clearance coordination, and onboarding readiness. Central leadership retains final hiring and start approval, as well as responsibility for routine caregiver scheduling.

Key Responsibilities

  • Office Admin & Scheduling: Serve as the Uniontown office's welcoming primary contact. Manage daily operations, reception, phone inquiries, RN scheduling, and client/caregiver schedule coordination with assistance from the Morgantown Office.
  • Caregiver Recruitment: Drive local candidate sourcing, interviewing, and onboarding logistics (fingerprinting, TB screens, clearances), preparing qualified hires for central leadership approval.
  • Communication & Intake Routing: Act as the central liaison for applicants and active staff via phone, text, and email. Document and route client inquiries to intake staff without promising admission.
  • Compliance & Records: Maintain confidential, up-to-date personnel files, coordinate I-9/E-Verify and orientation readiness, and manage clearances and offboarding documentation.
  • Leadership Collaboration: Partner with the Morgantown Assistant Director and PA Executive Director to forecast staffing needs, report recruiting progress, and maintain inspection readiness.
  • Community Outreach: Build local partnerships with senior centers, rehab facilities, and community organizations through office-based meetings, calls, and approved digital outreach.
  • After-Hours Support: Participate in a shared on-call rotation (approximately 1 week in 3) to triage urgent scheduling changes, with escalation support from the Executive Director.

Qualifications

  • Strong organizational, interpersonal, and multitasking skills.
  • Proficiency with online scheduling tools, spreadsheets, communication platforms, data entry, and interviewing.
  • Ability to complete all required pre-employment background checks and onboarding requirements.
  • Previous experience in recruiting, staffing, healthcare administration, or customer service is highly preferred; direct home care experience is helpful but not required.

Position Requirements

  • Schedule & Location: Full-time, Uniontown, PA 15401, Monday–Friday, 8:00 a.m.–5:00 p.m.
  • On-Call Support: After training, participation in the shared on-call rotation—approximately one week in three—with backup support and Executive Director escalation.
  • Technical Proficiency: Demonstrated comfort with data entry, standard computer navigation, and scheduling software platforms.
  • Compliance & Ethics: Strict adherence to company protocols, documentation standards, privacy requirements, and internal escalation procedures.
  • Employment Prerequisites: Employment is contingent upon successful completion of all legally required Pennsylvania and company background checks and pre-employment clearances.

Compensation and Benefits

Compensation: $40,000-42,000 per year; salaried nonexempt.
