Job Title: Recruiting & HR Coordinator
Location: Remote and on-site as needed (hybrid)

Position Type: Part-time; Hourly, Non-exempt Pay: $20/hour
Shift: Monday through Friday; 5 hours per day, ideally 2-7pm or similar (25 hours/week)
Reports To: Director of HR

This is an exciting opportunity to join a growing commercial cleaning company and make a meaningful impact on operations. The Recruiting & HR Coordinator is responsible for managing the full employee lifecycle within our commercial cleaning company, with a strong focus on recruiting, onboarding, and training. Bilingual English/Spanish communication skills are required, as the position regularly communicates with candidates and employees in both languages. The Coordinator will conduct interviews and onboarding meetings both virtually and in person, including traveling to company locations to meet with candidates, new hires, and employees as needed. This person plays a critical role in attracting qualified candidates, guiding them through the hiring process, and ensuring a smooth onboarding experience. Working closely with our operations and HR teams, the individual helps maintain a reliable, well-trained workforce to meet client needs across multiple buildings.

Responsibilities

  • Maintain an efficient recruiting process designed to reduce time-to-hire while maintaining hiring quality
  • Manage all job postings, including creating, updating, and placing job advertisements through Paylocity
  • Respond to prospective candidates by phone and email within 48 business hours
  • Conduct candidate interviews by phone, video, and in-person at company or client locations as needed, evaluate qualifications and fit for available positions, and make hiring recommendations in accordance with company hiring standards
  • Maintain an accurate pipeline of interviewed, selected, and hired candidates, including interview notes and candidate status, in Paylocity
  • Partner with the VP of Operations and Director of HR to forecast staffing needs
  • Initiate and review background checks and determine whether candidates meet employment and account-specific requirements; escalate questions or concerns to HR as needed
  • Enter new employee information into Paylocity and initiate new hire packets
  • Ensure compliance with all employment laws, including I-9 verification
  • Enter employee information to launch new hire packets through Paylocity
  • Guide new employees through required onboarding paperwork and tasks, ensuring forms are completed accurately and timely
  • Conduct onboarding with new hires, ensuring they understand the building, job duties, company policies, and work processes
  • Partner with managers and operations leadership to ensure new employees receive appropriate job-specific training, building orientation, policies, procedures, and other required information
  • Monitor employee turnover trends and recommend strategies to improve retention, such as adjusting schedules, improving communication, or enhancing workplace conditions
  • Identify opportunities for employee growth and development through on-the-job training, mentorship, and skills enhancement programs
  • Travel to company and client locations as needed to support recruiting, onboarding, training, and employee engagement activities
  • Conduct exit interviews and analyze feedback to identify patterns and areas for improvement
  • Conduct stay interviews to understand employee satisfaction and proactively address potential issues before turnover occurs
  • Encourage career growth within the company by identifying high-potential employees for leadership or advanced roles

Qualifications

  • Experience:
  • Previous recruiting or hiring experience with hourly roles is preferred
  • Previous custodial or janitorial experience is helpful but not required
  • Skills:
  • Bilingual in English and Spanish
  • Ability to work efficiently and prioritize tasks
  • Strong verbal and written communication skills
  • Ability to follow instructions and work independently or as part of a team
  • Customer-service mindset
  • Ability to build rapport with candidates and employees
  • Organized and detail-oriented
  • Comfortable using technology and HR/payroll systems
  • Ability to maintain confidentiality
  • Other Requirements:
  • Ability to pass a background check and drug screening (if required by the client)
  • Must be punctual, dependable, and maintain a positive attitude.

Working Conditions

  • Schedule: This position requires flexibility to ensure tasks are fulfilled.
  • Uniform: Company shirts and any required PPE (personal protective equipment) will be provided. Additional Marquis shirts/sweatshirts will be available for purchase at an additional cost.
  • Training: On-the-job training will be provided to ensure proper use of cleaning equipment and chemicals.
