Position Summary

As a Recruiting Administrator, you will provide administrative and operational support to the Talent Acquisition team, helping keep recruiting programs, candidate pipelines, campus recruiting activities, internship programs, job postings, and recruiting systems organized and current.

The Recruiting Administrator partners closely with recruiters and the Recruiting Coordinator to support a high-volume recruiting function while maintaining accurate records, timely follow-up, and a strong candidate experience.

Qualifications

Required

  • Organize, review, and route resumes collected at career fairs and recruiting events.
  • Edit and format job descriptions as needed.
  • Manage administrative activity for the New-to-Career candidate pipeline, including monitoring interview scheduling and candidate status.
  • Track which New-to-Career candidates have and have not been scheduled for technical interviews and follow up on outstanding activity.
  • Review completed interview feedback and disposition candidates who do not meet established requirements; add highly rated candidates to designated talent pipeline trackers.
  • Assist with the internship program, including preparation and setup for intern orientation.
  • Assist with career fair registrations, deadlines, logistics, and related administrative coordination.
  • Prepare approved offer letters for temporary employee conversions.
  • Post open positions to college and university career sites and monitor postings to ensure they remain current and active.
  • Post and maintain internship opportunities in markets where Prime Controls has offices or internship hiring needs.
  • Manage internship postings, including refreshing, updating, and closing postings as needed.
  • Maintain career fair and recruiting event inventory, including booth materials, signage, giveaways, printed materials, and supplies.
  • Maintain recruiting snacks, refreshments, and other team or event supplies.
  • Audit iCIMS requisitions and candidate pipelines for accurate statuses, dispositions, and clean candidate records.
  • Review applicants against established work authorization and sponsorship requirements and disposition candidates according to company hiring guidelines.
  • Conduct recruiting research, including evaluating tools and technology that may automate or improve recruiting processes.
  • Build and maintain a list of two-year colleges, technical schools, and trade programs that support Prime Controls' lines of business.
  • Organize and route Sales resumes and other resumes received outside of standard requisition pipelines.
  • Maintain recruiting trackers, spreadsheets, shared files, and administrative records.
  • Perform other duties as assigned.

Preferred

  • High school diploma or equivalent required.
  • Associate's or bachelor's degree in Human Resources, Business, Communications, or a related field preferred.
  • 1-3 years of administrative, recruiting, Human Resources, office, or program support experience preferred.
  • Strong organizational skills with the ability to manage multiple recurring tasks and deadlines.
  • Strong attention to detail and accuracy when working with candidate records and recruiting data.
  • Proficiency with Microsoft Office, including Outlook, Excel, Word, and Teams.
  • Experience with an applicant tracking system such as iCIMS preferred.
  • Ability to learn new technology and systems quickly and conduct effective online research.
  • Ability to handle candidate and employee information with appropriate confidentiality.
  • Willingness to assist with career fairs, recruiting events, and internship activities as needed.
