Accountabilities / Responsibilities
The Recruiter will have both immediate operational responsibilities and broader long-term objectives as the function matures.
Immediate Responsibilities
- Establish strong strategic partnerships with practice, clinical, finance, and operations leaders to set accurate timelines and budgets, foster transparency and a deep understanding of each department’s culture and needs.
- Lead proactive, strategic workforce planning - not just reactive recruiting - prioritizing searches using provider revenue and market benchmarks to overcome shortages.
- Develop clear, consistent communication with stakeholders; build confidence in the quality of candidates presented and ensuring all milestones, deadlines, and dependencies are tracked and met.
- Drive positive onboarding handoff outcomes and establish robust retention plans to sustain access to care.
- Foster a collaborative team environment; embrace professional development and training; explore and select technology to support a holistic approach to advancing growth goals.
Process Efficiency & Compliance
- Stand up efficient recruiting processes and service level agreements to improve speed‑to‑hire while maintaining compliance and documentation integrity.
Key Activities
- Establish a strategic plan to build a continuous provider recruitment pipeline.
- Develop a comprehensive digital strategy spanning general and niche job boards, multiple provider databases, social and text campaigns; pair with offline partnerships (residency programs, alumni networks, referrals, associations).
- Create and validate a Timeline to Hire; verify engagement process details to set expectations and remove bottlenecks.
- Incorporate ROI calculations to justify budget adjustments and investments (incentives, larger job boards, external partners).
- Apply Search Priority: use provider revenue by specialty to rank vacancies; use data to justify compensation adjustments, recruitment incentives, or leveraging partners.
- Design and coordinate high-touch candidate interviews and site visits that align practice leaders and internal stakeholders, address candidate and family priorities, and strengthen candidate confidence in the opportunity.
- Close Missed Opportunities: follow up with providers who declined offers; capture feedback on compensation, technology, culture, and process, and advocate for change where feasible.
Track recruitment metrics across the funnel (applicants phone on‑site offers- acceptances); benchmark against industry; use real‑time insights to course‑
- Inventory and evaluate recruitment tools; identify job boards/databases that consistently deliver quality candidates and document what moved the needle on difficult searches.
- Maintain access to market data and compensation benchmarks to inform offers and negotiations.
- Ensure early recruitment involvement in service‑line planning to improve timelines, transparency, and fit.
- Leverage robust resources and iterate on efficient processes to deliver candidates quickly without compromising quality.
Qualifications
Required
- Undergraduate degree in business, healthcare administration, communications, or related field.
- 5+ years of experience in provider relations, provider onboarding, concierge services, customer success, project management, or healthcare operations.
- Demonstrated ability to manage complex, multi-step processes with precision and consistency.
- Exceptional organizational skills, with the ability to track dozens of tasks and timelines simultaneously.
- Outstanding written and verbal communication skills, including the ability to communicate professionally with providers and executives.
- Ability to develop fluency in provider specialties, geographic markets, compensation dynamics, competitive positioning, and resident or fellowship recruitment cycles.
- Experience leveraging CRM platforms and project tracking tools to manage client relationships and project timelines.
- Ability to travel to practices across multiple markets for meetings, candidate interviews and site visits, recruiting events, conferences, and other business needs, including periodic overnight travel.
- Adaptable schedule to accommodate early-morning or evening meetings associated with provider schedules, recruiting events, and travel.
- High emotional intelligence, resourcefulness, and a service-oriented mindset.
- Strong problem-solving capabilities and a proactive, anticipatory approach.
- Ability to work both independently and collaboratively in a dynamic environment.
Preferred
- Experience working within MSO, multisite medical group, or health system structures.
- Familiarity with provider contracting, credentialing workflows, and practice operations.
- Prior experience building customer experience or onboarding programs.
