JOB DESCRIPTION

Recruitment Support & Administration:

  • Assist with job postings, sourcing resumes, and coordinating interview schedules for roles across Rooms, F&B, Kitchen, Sales & Marketing, Finance, Engineering, and Admin.​
  • Maintain and update recruitment calendars, ensuring timely scheduling of interviews.​
  • Serve as the point of contact for candidates applying for roles across Rooms, F&B, Kitchen, Sales & Marketing, Finance, Engineering, and Admin positions.​
  • Ensure candidates are informed about their application status throughout recruitment process.​
  • Assist in sourcing candidates and screening resumes for roles across all departments.​
  • Assist with interviews for new graduates, entry-level positions across Rooms, F&B, Kitchen, Sales & Marketing, Finance, Engineering, and Admin.​
  • Coordinate logistics for interviews, ensuring interview panels are prepared and materials are available.​
  • Collect feedback from interviewers and update candidate statuses.​
  • Coordinate with immigration agencies to prepare visa documents for foreign hires as needed.​
  • Coordinate with school partners regarding hiring and administrative matters for incoming interns.​
  • Maintain recruitment data and provide regular updates on recruitment status and upcoming needs.​
  • Handle other recruitment-related tasks to ensure smooth operations across all departments.​
  • Support new hires in preparing pre-onboarding documents

Requirements:

  • Candidates must have valid work authorization in Japan (visa sponsorship not provided).
  • Previous experience in HR or administration (hotel industry preferred but not mandatory)
  • Basic knowledge of recruitment and onboarding processes
  • Strong communication skills (able to work with multiple departments)
  • Fluent Japanese is a must + working English proficiency (for a multicultural workplace)
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
  • Attention to detail and ability to handle confidential data
  • Team-oriented mindset with strong organizational skills

This is initially a 12-month fixed-term contract position to cover maternity leave. However, depending on business needs and individual performance, there may be opportunities beyond the initial contract period.

ABOUT THE TEAM
The HR Recruiting Team is responsible for overseeing the full recruitment lifecycle to ensure the hotel attracts and hires top talent efficiently and effectively. This includes managing the end-to-end recruitment process from job posting to candidate selection and offer, developing employer branding and sourcing strategies through channels such as social media, school partnerships, and internal mobility, and coordinating interviews and assessments in collaboration with department heads.
The recruiting team also maintains accurate recruitment data, tracks key hiring metrics such as time-to-fill and offer acceptance rates, and supports onboarding activities up to the point of handover to the relevant department.​
