HR & Recruitment Coordinator

About the Role
We are looking for a proactive and organized HR & Recruitment Coordinator to support our growing team. This is a hands-on role combining human resources, recruitment, employee support, and general administrative responsibilities.
The position will initially operate on a hybrid work schedule. However, candidates must be comfortable transitioning to working from our Oakville office five days per week in the future.
Due to the long-term in-office requirement, preference will be given to candidates who live in or within a reasonable commuting distance of Oakville, Burlington, or Mississauga.
Key Responsibilities
Recruitment & Hiring
- Manage job postings and source candidates through various recruitment platforms.
- Review and screen resumes based on job requirements.
- Conduct initial candidate screening calls.
- Coordinate interviews between candidates and hiring managers.
- Communicate with candidates throughout the recruitment process.
- Prepare offer letters and employment documentation.
- Assist with reference checks and pre-employment requirements.
- Maintain candidate records and recruitment trackers.
- Coordinate with staffing agencies and external recruiters when required.
Human Resources
- Coordinate employee onboarding and offboarding.
- Maintain accurate and confidential employee records and HR documentation.
- Prepare employment letters, agreements, amendments, and other HR documents.
- Assist with employee benefits administration.
- Track vacation, leaves, attendance, and other employee information.
- Respond to general employee HR questions and requests.
- Support HR policies, procedures, and internal communications.
- Assist management with employee relations and HR administrative matters.
- Help ensure HR processes and documentation are consistent with company policies and applicable Ontario employment requirements.
Administration & Office Support
- Provide general administrative support to management and the team.
- Maintain organized electronic and physical files.
- Schedule meetings, interviews, and internal appointments.
- Prepare documents, spreadsheets, reports, and correspondence.
- Assist with office coordination and day-to-day administrative activities
- Assist with basic administrative/finance-related tasks when needed.
- Take on additional administrative duties based on business needs.
Qualifications
- Previous experience in HR, recruitment, office administration, or a similar role.
- Experience recruiting and screening candidates is strongly preferred.
- Good understanding of general HR practices and employment documentation.
- Familiarity with Ontario employment standards and HR practices is an asset.
- Strong written and verbal communication skills.
- Excellent organizational skills and attention to detail.
- Comfortable handling confidential employee and company information.
- Strong working knowledge of Microsoft Office and/or Google Workspace.
- Able to manage multiple priorities and work independently.
- Professional, dependable, and comfortable working directly with employees and management.
Location Requirement
Candidates should be located in Oakville, Burlington, Mississauga, or the surrounding area and must be able to commute reliably to our Oakville office.
This position is hybrid for now but is expected to transition to a full-time, five-day-per-week in-office position in Oakville. Candidates must be comfortable with this requirement before applying.
