Position Purpose
The Academic and Recruiting Events Manager is responsible for the planning, coordination, and execution of faculty-facing events, including research seminars, conferences, and recruiting activities. Primary responsibilities include managing the operational processes, systems, communications, and stakeholder relationships that ensure exceptional experiences for visiting scholars and faculty candidates while supporting Tuck’s teaching and research mission. Provides reception and coordination of guest services for the Deans’ Office and Tuck School.

The Tuck School’s Academic Operations team manages the systems, processes, and services that enable our world-class faculty to excel in teaching and research. We are seeking an Academic and Recruiting Events Manager to lead the logistical planning and execution of Tuck’s research seminars, recruiting visits, and academic conferences, supporting the delivery of more than 125 faculty-focused events annually.
This highly collaborative role serves as a key point of coordination among faculty, visiting scholars, candidates, and administrative partners across the institution. Success in this position requires exceptional organizational skills, sound judgment, attention to detail, and a passion for delivering outstanding service in a fast-paced academic environment.

Associates plus 3+ years' experience or equivalent combination of education and experience

- 3+ years related work experience and skill successfully managing complex programs, events, projects, and high-stakes administrative operations within higher education, a top professional services firm, or other preeminent organization, delivering a high level of customer service.
- Knowledge of business operations and communications gained through a bachelor’s degree in management or a related field of study, or a combination of a liberal arts education and relevant work experience.
- Strong verbal and written communication skills
- Experience and skill successfully managing projects involving coworkers without formal supervisory authority; ability to work effectively with numerous stakeholders and to build and maintain professional relationships with colleagues, vendors, and visitors.
- Strong proficiency with Microsoft 365 applications and experience utilizing enterprise systems, database platforms, event management tools, or applicant tracking systems. Ability and curiosity to learn and leverage emerging digital technologies to improve service delivery and operational efficiency.
- Demonstrated ability to lead multiple concurrent projects with competing deadlines with exceptional organizational skills, project management and planning skills, and a keen attention to detail.
- Exceptional interpersonal skills and demonstrated ability to build credibility and effective working relationships with senior leaders, faculty, candidates, visitors, and administrative partners.
- High degree of discretion in handling confidential materials.
- Able to support, contribute to, and strengthen a vibrant, culturally diverse, and inclusive learning community of students, alumni, faculty, and fellow professionals.
- Able to anticipate, deliver on, and exceed the expectations of faculty and professional staff colleagues.

Description
1. Program/Event Management
- Plans and organizes research seminars and conferences, including supply ordering, booking and confirming travel and lodging for domestic and international guests, catering and facilities arrangements, and preparation of seminar and conference materials (nametags, handouts, etc.).
- Maintains a master calendar of seminars, conferences, and recruiting visits, and develops contingency plans for scheduling conflicts, cancellations, or last-minute changes.
- Manages pre- and post- event communications with visitors, speakers and faculty, including invitations, RSVPs, accommodation requests (dietary, accessibility), and follow-up correspondence; greets guests and escorts to meeting rooms, and provides on-site support to ensure smooth execution
- Prepares and enters expense reports, monitors and tracks budget spending across seminars and conferences, and adheres to budget parameters, ensuring accurate financial reporting and policy compliance.
- Identifies cost-saving opportunities where possible without compromising program quality, and completes other tasks and assignments associated with achieving academic operations priorities.

- Faculty Recruitment:
- Coordinates operational and logistical aspects of faculty recruitment activities, including administration of Interfolio, candidate communications, interview scheduling, campus visit planning, travel coordination, and expense processing.
- Partners with faculty search committees to ensure recruiting activities are conducted efficiently, professionally, and in accordance with institutional policies and timelines.
- Maintains recruiting records and supports the creation and distribution of faculty position advertisements and recruiting materials.

- Relationship Building and Team Collaboration:
- Collaborates with other Tuck offices and colleagues to organize, manage, and complete shared projects and assignments, particularly with Tuck Finance, IT/AV, Events & Facilities, and Tuck Dining.
- Engages with deans’ office, faculty, and other professional staff colleagues to identify and surpass service challenges, builds and fosters strong working relationships with internal colleagues and constituents as well as external vendors and visitors.
- Researches, proposes, applies, and shares knowledge of service delivery trends and innovations, particularly in the effective use of visitor engagement and communications tools to enhance their experience.

- Office and Guest Services Coordination:
- Receives and greets guests on the Tuck campus, including visitors, and faculty, staff, and leadership colleagues seeking help; conveys information, responds to inquiries, and escorts guests or gives them detailed instructions for finding their way.
- Answers and fields calls to the main Tuck phone number, providing requested information, transferring callers, taking and delivering messages, and providing applicable follow-up as needed.
- Provides additional administrative support and coordination with the Dean’s Office Executive Assistant.
- Performs office management tasks related to procurement, supply ordering, and space organization for Deans’ Office.
